Job Description

United Coolair, LLC is an original equipment manufacturer of HVAC equipment, and we have been serving our customers for over 30 years. We are looking for the right person to join our legacy and contribute to our continued success for years to come. We are looking for a Buyer to join our team at our York, PA facility. This position is an in office, full-time position. Typical hours are Monday to Friday 7:30 am to 4:00 pm.

Job summary

Provides support for Production & Inventory Control, contributes to the procurement of components and supplies / machinery, maintains and develops supplier relationships, and tracks component deliveries to ensure production dates are met. Performs routine assigned tasks using our ERP System (Macola) and basic office skills in conjunction with direction from supervisor. 

Responsibilities/daily tasks

  • Build and foster relationships with a portfolio of key vendors with guidance and direction from Purchasing Manager.
  • Review and analyze reports to identify items that require replenishment.
  • Review requisitions and release purchase orders in a timely manner.
  • Review Kanban card submissions and release purchase orders accordingly.
  • Manage inventory of office supplies and reorder as needed.
  • Check and respond to emails, maintain files, and process all required paperwork in a timely manner.
  • Establish and maintain purchasing data such as price, cost, lead-time, order quantity, and product description.
  • Check upcoming production jobs to ensure components will arrive on time and maintain contact with supplier until delivery.
  • Help QC as needed with returns to suppliers.
  • Review customer parts orders and release pull from stock notice and / or purchase orders in a timely manner to meet customer requirements. Also provide quotes for the sales team as requested and maintain the parts order tab on the shortage report. 
  • Expedite delivery of products and maintain credible delivery information for purchase orders. Drive suppliers for excellent delivery performance and inform the team of any delays.
  • Analyze and resolve issues arising from warranty, overstock, obsolescence, slow moving inventory, packaging, delivery, and any other problems that may arise in dealing with specific vendors.

  • Identify and correct outages and shortages immediately utilizing the shortage report and potential shortage report combined with engineering resources.
  • Accountable for execution of sourcing projects including continuous improvement, consolidation, etc.
  • Proactively mitigate any potential problems in the supply of materials.
  • Maintain sufficient levels of inventory to meet allocation demand while achieving company inventory turnover objectives.

Qualifications

  • Ideally 2-4 years of experience in a procurement-focused, fast paced, and dynamic environment.
  • Experience managing numerous, diverse vendor relationships.
  • Strong relationship building skills including negotiation and senior executive interaction.
  • Ability to work successfully with multiple business functions of an organization.
  • Great communicator who can motivate & influence both internally and externally across all levels.
  • Strong organizational skills and attention to detail.
  • An entrepreneurial, self-starter who can think innovatively and take the ball and run with it with a positive attitude.
  • Ability to manage high SKU counts.
  • Basic math and computer skills.
  • Microsoft office proficiency (Teams, Excel, Word, PowerPoint).
  • Ability to problem-solve and make informed decisions.
  • Flexible and adaptive to changing priorities; ability to organize and prioritize workload to meet deadlines.

Relation of the position to others in the company

Communicate any component delays to scheduling, production and sales. Relay delivery information to production as requested. Work very closely with the Purchas ng Manager to ensure the team is operating efficiently and communicating effectively. Also includes working with engineering for help with component substitutions or alternates, quality control for supplier defects, and sales for customer quotes.
