JOBSUMMARY:

The Administrative Services Coordinator of the Employment Support Services (ESS) program is responsible for the coordination and delivery/implementation of the administrative of the ESS program. The position is also responsible for assistance with various regulatory requirements, including knowledge of computer programs in order to generate data for SourceAmerica/government requirements and reports.

ESSENTIAL FUNCTIONS:

  1. Facilitate the collaboration of administrative services personnel in the provision of administrative services and supervise assigned staff.
  2. Provide for the processing of correspondence (including independently composing letters, memoranda, etc.), maintenance of a central filing system, and generating reports for staff as needed. Responsible for processing confidential information. Responsible for maintaining purchase order documents.
  3. Act as liaison between ESS and Agency (i.e., MRCS) staff in regard to regulatory and procedural functions.
  4. Direct the activities of the ESS strategic planning process to include coordination of assessments, establishment of goals/objectives, development of action steps, and recording/reporting of progress toward objectives.
  5. Direct the preparation and submittal of the biennial application for certification to pay a special minimum wage under Section 14C of the Department of Labor, Wage and Hour Division.
  6. Assist ESS management staff in the preparation/development of grants, budgets, cost reports, program achievement reports, surveys, and other required reports as scheduled.
  7. Provide a lead role to ESS staff in coordinating public relations activities, program descriptive literature, and other functions targeted in the annual strategic plan.

OTHER DUTIES:

  • Provide information pertaining to the ESS's routine operations.
  • Coordinate, conduct, and/or attend meetings and other events by schedule or assignment, representing the ESS as required.
  • In coordination with other staff, including Agency Vehicle Fleet Coordinator, maintain ESS's vehicle inventory records; track vehicle records according to FTA requirements on Section 5310 vehicles; process documents for newly-acquired vehicles; process documentation for vehicles and other equipment designated as obsolete.
  • Perform such other duties as assigned by supervisor.

QUALIFICATIONS:

Good oral and written communication skills

Good math and accounting skills

Work skills involving independent judgment and planning, time management, and organizational ability

Skills and knowledge of computer hardware, software, and office systems

Knowledge of and skills in the principles of management and supervision

Knowledge of and skills in budgetary and fiscal management areas and data analysis

Knowledge of and skills in the principles of personnel management or related area.

EXPERIENCE/EDUCATION REQUIRED:

Associate degree and five (5) years' experience either in appropriate professional area or as an administrative assistant to senior management or equivalent education and/or experience. Bachelor's degree preferred.
