This role is located in Woodbridge, New Jersey and is required to be onsite.

Job responsibilties

  • Local point of contact, operations champion and is a key resource to the Complex Operations Manager for the Northeast

  • Delivers technical onboarding support for all new advisors and works with Technology/Digital Leads

  • Guides PEP thru onboarding process and follows up with regard to outstanding requirements

  • Schedules 1:1 meetings with DMs to ensure all candidate flow is accurate

  • Completes the pre-hire process for all new associates. Process includes coordinating applications, conditional offer letters, background checks, CLEAR report, and assembling pre-hire folder

  • Works with DMs to ensure data in Smartsheet is accurate

  • Works in concert with Talent Acquisition and sources/follows up w/ leads as needed

  • Supports Branch-Wide communications and works in concert with COO to communicate key items

  • Is the location liaison and works with building management

  • Works in concert with Marketing Lead to assist with creating and designing Branch-specific communication pieces and marketing communication

  • Facilitate monthly Managers meetings, include offsite events

  • Support all branch events

  • Create, edit and release monthly newsletters

  • Is a backup to checks, correspondence, and other critical mail processing

  • Back up for printing and stationary for office, and supply order as necessary

  • Ensures marketing materials are ordered and inventory is maintained

  • Backup to technology troubleshooting and works with Technology Manager as needed

  • Backup for organizes moving with local vendors if FP’s move and move out of office

  • Back up to support in management of conference rooms.

  • Backup to enforcement of health and safety and Standard Office Procedures

The base salary range for this position is $60,000-$75,000. Actual base salaries vary based on skills, experience, and geographical location. In addition to base pay, Equitable provides compensation to reward performance with base salary increases, spot bonuses, and short-term incentive compensation opportunities. Eligibility for these programs depends on level and functional area of responsibility.

Qualifications

Required Qualifications

  • Bachelor’s degree required

  • 2 years' experience, financial industry experience a plus

  • Advanced knowledge of Microsoft Office Suite (all versions) including MS Excel

  • Excellent written and verbal communication skills

  • Proven record of guiding people thru a process

  • Strong analytical and critical thinking skills with keen interest to further develop these abilities

  • Reliable with excellent prioritization skills, a clear focus on results and meeting deadlines

  • Experience working on projects with multiple, cross-functional stakeholders

  • Ability to serve as primary contact to and communicate with financial professionals with diplomacy and tact

  • Quick to learn and implement, regardless of result

  • Able to resolve conflict, problems, and function independently

  • Understands the need for confidentiality at all levels of work

Document Management: Knowledge of document management; ability to categorize, integrate, update, document and distribute business information in a secure, effective way.

Effective Communications: Understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors.

Knowledge of Organization: Knowledge of the organization's vision, structure, culture, philosophy, operating principles, values, and code of ethics; ability to understand the value of aligning capabilities with business goals to support optimal performance.

Managing Multiple Priorities: Knowledge of effective self-management practices; ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation.

Project Administration: Knowledge of project administration best practices and ability to use organizational strategies, practices and tools for administering projects.
