FLSA Status: Full-time/Hourly/Nonexempt

Summary

The Event Operations Coordinator is a member of the Event Operations Department who is responsible for working in all aspects of the conversion and planning process for assigned events to include: set up and tear down of the exhibit hall, ballrooms, salons, meeting rooms, and exterior lawn events; monitoring the ongoing logistics of events; coordinating all tasks associated with events, in a role of professional support in the planning, organization, execution and management of events; and fills in as a limited liaison between the Wilmington Convention Center and the client(s) in the coordination of all facility services and event activities.

Essential Duties and Responsibilities

  • Read and interpret floorplans and layouts to ensure event arrangements meet client requirements.

  • Meets with clients the day of event to plan and organize event details, interpret and explain contract provisions, facility policies, and procedures.

  • Maintains an active presence during all scheduled events, implementing any changes to event activities as needed and resolving any issues that arise.

  • Set up, maintain, and break down such items as: flooring, portable chairs, operable walls, barricades, staging, tables, dance floors, other furnishings, and equipment.

  • Assists in a limited role with the “Manager on Duty” (MOD) program as required during scheduled events.

  • Utilize industrial equipment such as pallet jacks, material handling carts, and dollies to transport items to and from storage areas to event locations.

  • Provide guidance and support to the temporary and part-time staff assigned to an event.

  • Report irregularities, discrepancies, damages, safety hazards, and the loss of property promptly to the Director of Operations.

  • Step in and assist with Housekeeping Department tasks and duties related to events and projects.

  • Comply with all Wilmington Convention Center policies and procedures associated with such programs as risk management, safety, and emergency management.

    Supervisory Responsibilities

    Supervises part-time and temporary labor staff while also acting as a fill-in for operations and event manager when they are not available. Contributes to the “MOD” program as required during scheduled events.

Administration

  • Promotes and fulfills ASM/WCC goals and brand promise with each managed event.

  • Manages activities in keeping with both event and department budgetary constraints.

  • Effectively maintains all event files to ensure event activities and challenges are documented in support of optimum client services.

  • Actively participates in the facility safety programs to provide for a safe and secure environment for clients and their guests.

  • Provides excellent customer service to a wide variety of customers, be they internal staff members or external clients and guests.

Education and/or Experience

  • High School Diploma or higher from an accredited institution.

  • Bachelor’s Degree in related field preferred

  • Minimum 1-3 year related experience in event and facility operations management.

  • Knowledge of the proper use of hand tools and conversion equipment

    Skills and Abilities

  • Ability to prioritize work, utilize good organizational skills, and meet tight deadlines in an efficient manner.

  • Ability to work effectively under pressure within stringent schedules.

  • Excellent communication skills both oral and written.

  • Ability to interact with guests, vendors, and staff in a friendly, courteous, and polite manner.

  • Ability to work independently, exercising judgement and initiative.

  • Demonstrated knowledge of all national, state, and local life safety codes.

  • Understanding of the principles of event facility management, services, and equipment.

  • Strong interpersonal, verbal, and written skills.

  • Excellent organizational skills with the ability to prioritize work to meet deadlines.

  • Available to work flexible hours, including nights, weekends, and holidays.

  • Ability to meet the physical demands of the position.

  • Exceptional customer service skills ; ability to deliver excellent customer service satisfaction.

    Computer Skills

  • Proficiency with Microsoft Office Products, to include Word, Outlook, Excel, PowerPoint and Publisher.

  • Proficiency with event diagram software such as Social Tables.

While performing the duties of this job, the employee is moderately exposed to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises. The ability to lift up to 50 pounds is required of the position. The environment involves some exposure to hazards or physical risks including climbing, working at various heights and moving about the facility on a regular basis. Daily shifts will endure various degrees walking, standing, turning, stooping, crouching, kneeling, reaching, pushing and pulling, requiring a full range of body movements. This position may require work inside or outside of the building, as needed by events.
