Job Summary:
Coordination of office functions to facilitate the planning and execution of events in order to exceed the expectations of Whistler Blackcomb Guests. Late November to April.
Job Specifications:

Expected Pay: $21.00 / hour
Shift & Schedule Availability: Full Time
Skill Level: Intermediate
What you’ll be doing:
To continually strive to exceed our Guest’s expectations and to create memories for guests and staff as the best mountain experience again and again.
Complete familiarity with all Events
Expected to act as a Whistler Blackcomb Ambassador at all times on and off the job
Continuously develop office functions, attending appropriate courses when available
Scheduled to attend weekly Systems and Operations meeting from time to times; take and distribute minutes as required
Must have a thorough knowledge of all aspects of the Admin Supplement section in Event Department Manual as well as a familiarity with the operational sections of the manual
Assist with the execution of all training for volunteers
Familiarity with all Guest Relations registrations procedures keeping an eye to where improvements could be made to improve service
Part of the team responsible for monitoring Event internal and external communications through avenues such as All Mountain Email/ Messenger, pipeline, web and newspapers, radio, posters and external media.
Assistance with proofing all communication and notices which will be used for event or participant information.
Responsible for maintaining appropriate work space appearance throughout working week
Assist other Event Department staff as required.
Responsible for the updating of current Event Department files, computer lists, departmental reports so that consistent and complete records are readily available at all times
Expected to work with and be an example for volunteer staff on and off the hill
We are a company that works together and throughout the season you may be required to assist in other departments as needed.
Job Responsibilities - Event Specific / Race Secretary:
Continuous attention to DETAIL regarding guest and event information
Advance preparation and maintenance of all office and participant supplies for specific events
Must be familiar with operation of all computer systems for timing and results production
Ability to handle guest correspondence in a professional and timely manner via phone, e-mail and in-person interactions
Will be required to handle cash at event registration if necessary
May be required to assume a variety of race positions during events along with Race Secretary Duties - i.e.: timer, chief of timing & result calculations, volunteer coordinator, etc.
Timely event results production; assistance with awards presentations and participant feedback programs
Complete event follow up including post mortems, sponsor reports, media distributions, survey results and any participant communication required
Maintenance of complete event record books and event participant Bibs

Job Requirements:
Strong typing, computer and Excel familiarity and office experience required
On-snow Advanced competence required
Must be comfortable working outdoors for extended periods of time in varying weather conditions

Must be detail oriented and have the ability to prioritize tasks

Must be a team player with leadership abilities
Must be hard worker with flexible working hours
Event experience an asset
