Greenwich MedSpa MedSpa Manager in Westport, Connecticut

Greenwich Medical Spa (GMS) is an industry leading, award winning medical spa providing non-invasive cosmetic treatments. GMS was established in 2005 with the unwavering mission to inspire confidence and empower our patients, employees and communities.

GMS is actively seeking a full-time, high energy, and dedicated individual for our MedSpa Manager position in Westport. The MedSpa Manager is responsible for the day-to-day operational functions of the medical practice, ensuring that office policies, procedures, and plans are executed in a smooth and expeditious manner our Five-Star Service Standards are being met.

RESPONSIBILITIES:

  • Office Management.

  • Opening and closing activities of the medspa with regard to security and maintenance, operate scheduling systems. Maintain reception area, transaction counter and retail displays.

  • Partners with Human Resources with regards to maintaining employee files, coordinating payroll, ensuring appropriate staffing levels and other related functions including employee training.

  • Maintaining inventory on all medical, spa and office supplies.

  • Reconciliation of bank statements with daily sales reports.

  • Coordination of contracted services such as housekeeping, linens, pest control and biohazard waste.

  • Coordination of contracted services for laser upkeep and maintenance.

  • Maintains tranquility area, work areas, back office, and kitchen and ensures compliance with OSHA standards.

  • Manages staff scheduling.

  • Reconcile monthly inventory of all medically supplied transactions via P&L

  • Ensure clinicians chart all consents and standing orders accordingly and HIPPA forms are signed and included in patient charts.

  • Coordinates computer systems, including software updating, maintenance and daily backup.

  • Serves as the medspa facility's marketing representative in the community.

  • Fielding incoming phone calls, scheduling and confirming appointments.

  • Processing payment at the transaction counter.

  • Enters charges and payments; issues refunds as appropriate.

  • Reconciles day sheet with fee sheets.

  • Manages postage meter, mail sorting, and post office activities.

EDUCATION AND EXPERIENCE

  • College degree: Sales/ marketing emphasis preferred

  • One to two years of dermatologic/aesthetics experience

  • One to two years of management experience
