Cape Cod Community College Staff Assistant - HR & IT in West Barnstable, Massachusetts

Provides efficient & professional administrative support & the highest level of integrity & confidentiality while supporting both the Human Resources (75%) & Information Technology (25%) offices at Cape Cod Community College. This position requires strong administrative office skills & experience, a high level of organization, excellent communication & interpersonal skills & robust computer skills. Problem-solving skills, flexibility & the ability to cooperate with others in a complex & varied environment are essential. The ability to be self-directed is required in day-to-day office operations. EXAMPLES OF DUTIES: Maintain & monitor the schedule of appointments & events for HR & IT offices\' executives Interface with constituents on campus & externally to support HR & IT offices\' responsiveness Facilitate functions, prepare materials, manage projects for the HR & IT offices including meeting scheduling, agenda setting, minutes, & accurate official file retention Maintain flexibility as the HR & IT offices\' work changes & evolves, supporting the HR & IT offices as they set key priorities & ensure that time is used effectively & efficiently Apply sound independent judgment in decision making to accomplish tasks that are urgent & sensitive in nature Research & analyze information for the formulation of responses & reporting on behalf of the HR & IT offices Support records, policies, & procedures automation, review, & modification schedule Ensure quality & timeliness of all communications Apply strong written & oral communication skills providing editing support as a thought partner working within the HR & IT offices Support the preparation of reports from the HR & IT offices to various external federal, state, & College stakeholders agencies Oversee all budget reconciliations & spending for HR & IT offices budgets, including assisting with budget information such as preparing purchase requisitions & processing invoices Work with College offices & academic departments to ensure College job postings meet institutional consistency & compliance requirements prior to posting/publication Keep current on all issues being managed by the HR & IT offices to appropriately implement & communicate as directed by the HR & IT offices Draft routine correspondence & memos & carefully proofread correspondence & documents prepared for the Chief Human Resources Officer\'s signature Work closely with the College offices of the President, Academic & Student Affairs, Enrollment Management, Educational Foundation, Student Services, Finance & Operations, Communications, Information Technology Services, Institutional Research, Alumni, as well as the 15 Massachusetts community college Presidents\' offices. Refer inquiries or problems to the appropriate College office or person, following up as needed to determine the inquirer\'s satisfaction with the response Attend College functions both day & evening, as required Effective operation of standard office equipment (printer, copier, fax machine, PC, etc.) & computer software, including MS Office Suite Requirements: MINIMUM QUALIFICATIONS: Bachelor\'s degree plus five years of progressive experience with managers, office administration, & board governance Highest degree of integrity, professionalism, & diplomacy.
