Position Summary

The Leave of Absence Coordinator is responsible for coordination and support for leave of absence cases in the US. The Leave of Absence Coordinator will work closely with employees, HR, and the Leave Administrator to ensure FMLA, disability and Parental leaves are processed accurately and timely, to minimize disruption to the business, as well as to the employee. Assists the Senior Manager of Benefits with the development of process improvement recommendations.

Principal Responsibilities

• Coordinates the day-to-day administration of our leave of absence programs alongside the Benefits Analyst

• Closely monitors all leaves initiated with the Leave Administrator to ensure the employee has properly followed all procedures of the Leave process

• Partners closely with HR to provide support on employee cases

• Reviews daily file feeds to confirm data is flowing in and out of our HRIS accurately and works with the HRIS analyst regarding any discrepancies

• Reviews daily notifications sent by the Leave Administrator for accuracy and tracking purposes

• Runs various reports to review approvals for all leave types, and to confirm data matches internally and externally

• Provides analytics around leave trends by location, type of leave, and other data points

• Responsible for reconciliation of benefit deductions related to employees on a leave

• Coordinates with payroll on the leave pay owed to employees each week

• Continuously monitors and ensures compliance with various state leave laws and programs

• Assists with leave of absence documentation and communications

• May include other duties as assigned

Education / Experience Requirements

• College degree required

• 3-12 months of experience preferred in an HR or leave of absence role

• General understanding of leave of absence programs, including FMLA and disability plans

• Understanding of pay practices associated with state and federal leave programs

• Knowledge of general file transfer and system reporting

• Strong proficiency in MS Excel

• Ability to work in a fast-paced environment with multiple priorities

• Handle complex, non-routine matters requiring discretion, independent action and analysis to arrive at decisions which frequently vary based on each leave of absence case

• Appropriately operates with frequent access to confidential information

• SAP Success Factors and general internet-based vendor/carrier portals proficiency preferred
