WGL - Lead Executive Administrator
Position Summary
The Lead Executive Administrator serves as a key leader within the administrative team, providing high-level support to senior executives while overseeing the success of other Executive Administrators. This role ensures the effectiveness of the administrative team and fosters a collaborative and high-performing environment to meet organizational priorities.
You Will:
• Lead, mentor, and support a team of Executive Analysts, ensuring their professional growth and success.
• Collaborate with team members to develop best practices, improve processes, and increase administrative efficiency across the organization.
• Monitor team performance and provide regular feedback to ensure high standards of support.
• Hire and onboard new team members as required.
• Facilitate the ongoing learning and development of the EA team ensuring skills are kept current and meet the needs of the Executive Team
• Manage EA team members including ensuring EA backfill schedules are created, formal and informal feedback sessions and performance reviews are conducted, and salary recommendations are provided.
• Facilitate team meetings and collaborative initiatives to align goals and maintain consistent support for executives.
• Provide confidential administrative support, demonstrating discretion, judgment, and professionalism when interacting with executives, internal, and external stakeholders.
• Independently and proactively manage day-to-day operations and executive schedules.
• Funnel tasks to the pool, focusing on travel arrangements, expense reimbursements, and processing invoices. Serve as a liaison between various departments and external clients when required.
• Organize logistics for internal and external meetings, creating agendas, materials and taking meeting minutes.
• Efficiently manage, screen and prioritize a high volume of emails and calls, ensuring timely response and appropriate routing.
• Draft, edit, and proofread communications, reports, forecasts and other pertinent documents for internal and external use.
• Develop and maintain presentation materials, ensuring accuracy and adherence to WGL standards.
• Using analytical findings, assist in creating reports and other needed materials.
• Collaborates with the Executive Administrators and the pool of EAs to funnel tasks and ensure seamless and successful task completion.
• Act as a liaison between executives, departments, and external stakeholders, ensuring seamless communication and collaboration.
• Provide essential support for the execution of departmental and cross-departmental special projects and initiatives.
• Foster a collaborative and inclusive environment among the administrative team, encouraging knowledge sharing and teamwork.
You Have:
• High School Diploma/GED required. Bachelor's Degree preferred
• 7+ Years executive-level administrative experience, with strong organizational and multitasking skills. required
• 2+ Years in a leadership or mentorship role required
• Proven ability to lead and develop a team, fostering a positive and high-performing work environment.
• Excellent verbal and written communication skills.
• Advanced proficiency in Microsoft Office Suite, particularly Outlook, Excel and PowerPoint. Proficiency in Adobe Acrobat. Data analytic skills desired, including business research experience.
• Previous experience with E-pro is preferred.
• Ability to manage multiple tasks and deadlines in a fast-paced environment.
• Strong organizational and time management skills.
• Proactive and self-motivated with a keen attention to detail.
• Ability to work in a collaborative and team environment.
• Proficiency in analyzing and interpreting data to identify relevant issues in problem-solving within the business context.
• Exceptional flexibility and resourcefulness, enabling you to adapt to changing circumstances.
• Strong interpersonal and project management skills, allowing you to manage multiple tasks and meet tight deadlines effectively.
We offer a competitive salary range of $84,000.00 to $121,500.00 per year, commensurate with experience, education, and skills. In addition, we provide a comprehensive benefits package including health insurance, retirement plans, and paid time off.
