Responsibilities

  • Work closely with the Program Manager, peers, and government personnel.

  • The Program Assistant will assist, identify, analyze, update, support, schedule, organize, maintain, and manage the following tasks:

  • Administrative functions such as supporting project/program tracking, data analysis and documentation, program document preparation and presentations, budget and field support tracking

  • Performing clerical functions such as control and filing/library maintenance, portfolio review support, management systems support, handling information requests, program file management, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings (technical and program related; conferences and events planning).

  • Provide planning, monitoring, coordinating, and reporting support on MEA Office program activities to ensure that activities are efficiently and effectively implemented in a manner that achieves the objectives of the U.S. Government.

  • Research and provide technical support for studies, analyses, and related MEA Office and programmatic support.

  • Provide records maintenance and other duties as assigned related to area(s) of responsibility.

  • Analyze and organize budget and field support tracking.

  • Manage control and filing / library maintenance

  • Update and manage portfolio review, management systems and program files.

  • Monitor the implementation of program activities, with emphasis on identifying constraints, issues, logistical needs, and dependencies of specific inputs.

  • Plan program and development assistance activities, including advising on the preparation of statements of work, project designs and strategic plans.

  • Plan and participate in program assessments and evaluations.

  • Prepare program / project tracking, reports and success stories.

  • Support USAID liaison and coordination efforts with other donors, NGOs, civil society groups, government officials, and other actors.

  • Provide Technical and program related conference and event planning

  • Perform secretarial and administrative functions as needed, to include maintaining the calendars, scheduling meetings, maintaining files, handling mail and correspondence, program document preparation, presentations and preparing all travel-related documentation and making travel arrangements for staff as assigned.

  • Serve as logistical backstop to staff, including TDY staff, for establishing meeting schedules and securing workspace, arranging electronic support, and related items.

  • Manage multiple competing priorities through effective organization and communication.

  • Provide regular and timely status reports to internal management team.

  • Willingness to work in Washington, DC after COVID-19 teleworking permissions end.

Qualifications

  • High School diploma and a minimum of one-year professional administrative support experience

  • Must be eligible to obtain an Interim Secret clearance

  • Must be able to report onsite 3x/week

  • Strong communication and organizational skills

Knowledge, Skills and Abilities:

  • Demonstrated ability to work independently and with others

  • Ability to work under tight deadlines and handle multiple/detail-oriented tasks

  • Proficiency in the use of Microsoft Office, internet, e-mail applications, and database applications.

  • Proficiency in administrative and clerical functions

  • Effective interpersonal skills, especially with senior leadership.
