VectorCSP Administrative Professional, Journeyman , (NSC PMO) in Washington, District Of Columbia

Job Summary:

T he United States Coast Guard (USCG), Office of Acquisitions, National Security Cutter (NSC) Program Management Office (PMO) (COMDT (CG-9321)) is in the later stage of the acquisition lifecycle as a fully mature program. The USCG NSC Program is dynamic and requires flexibility and innovation. C onstant oversight and creativity are required to ensure that the systems onboard NSCs continue to remain effective and optimal to the fleet, meet sponsor requirements, and address increasing levels of system and equipment obsolescence, while still maintaining prescribed cost, schedule, and performance parameters. The scope of this requirement includes contractor program management, test and evaluation, engineering, financial, logistics , configuration management, post-delivery, and documentation support services .

Education and Experience:

  • Bachelor of Science or equivalent experience

  • 3-10 years of experience

    Essential Duties:

  • S upport the USCG NSC PMO with day-to-day administration, documentation, and maintenance of routine and daily deliverables to include communications, information and task tracking, documentation capture and control, technical library management, technical writing, briefings, performance measurement products/deliverables, and meeting support.

  • O rganize, maintain configuration, manage workflows, create reports/presentations, provide metrics, and monitor content of a complete electronic set of current and historical program documents in the USCG NSC PMO NSERC SharePoint site. Examples include, but are not limited to, USCG MSAM required documentation, decisional memorandums, modifications, concepts, specifications (including technical issues), reports, correspondence, scheduling revisions, plans, and technical presentations/briefings.

  • S creen documents for proper marking of distribution and data rights, review contractor-generated Data Accession Lists (DALs), and provide recommendations to the USCG NSC PMO COR.

  • A ssist with preparing recurrent briefs and presentations for internal USCG directorates and commands as well as external USCG entities.

  • P rovide data, inputs, and edits for the USCG NSC PMO Weekly Staff Meeting slides.

  • Provide overall support as required

  • Track, monitor, and report status of program documentation to include memorandums, routine USCG MSAM documentation, and decisional documents. This tasking requires follow-up on documents in the concurrent clearance and sequential approval processes.

  • Maintain a USCG NSC PMO tracking spreadsheet for administrative items in the review and approval process, which may include decisional memorandums, USCG MSAM documents, plans, and reports, agreement memorandums, Letters of Direction (LODs), personnel training reports, and certifications and awards.

  • Develop a process and associated plan for the maintenance of existing Government reports, trackers, and documents for the creation, incorporation, and maintenance of new reports, trackers, and documents. The process and associated plan must detail the proposed reporting format (e.g., a spreadsheet, document, or other format) and must be geared toward tracking the status, progress, and future timeline of the deliverables.

  • Support all USCG NSC ceremonial efforts (i.e., keel laying, christening, commissioning) to include correspondence and coordination with other USCG directorates, preparation and tracking of invitational lists, review and editing of print packages, and other documentation support.

  • Participate in USCG NSC ceremonial related meetings and track action items that require specific USCG NSC PMO personnel response or resolution. Relay that information back to the USCG NSC PMO lead and provide potential resolutions to the issue as needed.

  • Track dates and schedule changes, develop program specific ceremonial Plan of Action and Milestones (POA&M) reports, and maintain POA&M reports until event completion.

    Knowledge, Skill and Abilities:

  • Knowledge and experience with all Microsoft office products

  • Knowledge of support military projects/programs is desired
