Children's Hospital Association External Affairs Coordinator in Washington DC, District Of Columbia

In this newly created role, the External Affairs Coordinator will report to the Vice President of External Affairs and work a hybrid schedule from our DC Metro Center office. The coordinator will be a vital part of the Public Affairs team, providing comprehensive administrative support to ensure the smooth execution of various initiatives. Working closely with fellow coordinators, this role will help organize meetings, manage event logistics, assist with communications, support advocacy efforts, and handle general administrative tasks for the organization.

What You’ll Do

  • Manage and coordinate administrative support for the External Affairs team, while supporting the Public Affairs department as a whole and other CHA teams as needed.

  • Provide administrative and logistical support for the External Affairs department (PR, Comms, and Community Health) including coordinating with CEOs’, PR, and Community Health offices from hospitals, external partners, and scheduling, drafting documents, preparing materials, and minutes.

  • Assist with department and CEO communications by drafting, formatting, and proofing communications, documents (correspondence, talking points, fact sheets, speeches, email blasts, presentations, etc.), and social media content while following CHA style guidelines.

  • Assist with updating web content for the CHA website including drafting, formatting, proofing, while maintaining backend organization of the website.

  • Manage and maintain department contact records, affinity group enrollment, mailing lists, and associated information through CHA customer relationship database (Salesforce).

  • Manage accounting for department, including drafting and monitoring the department budget, processing incoming invoices, and manages invoicing process from children’s hospitals.

  • Manage travel arrangements and expense reporting for Vice President of External Affairs.

Required Experience:

What You’ll Bring to CHA

  • Bachelor’s degree in journalism, public health, public policy or related field preferred, but may be supplemented by equivalent experience.

  • Minimum of two years of administrative office experience.

  • Strong writing skills with an eye for detail and knowledge of Associated Press style.

  • Well-versed with social media and content creation (video content and editing skills are a plus).

  • Familiarity with HTML, WordPress, Sprout, or other Content Management Systems.

  • Ability to set priorities, handle multiple projects, and meet deadlines under minimal supervision.

  • Ability to interact with all levels of staff and children’s hospitals.

This pay range shown is a guideline. Min: $42,300 Max: $86,000. Compensation is based on factors such as qualifications, skill level, and competencies; compensation is based on the role's location and is subject to change based on work location.?
