WABENO SANITARY DISTRICT # 1 Office Manager/Clerk in WABENO, Wisconsin

JOB REQUIREMENTS: ESSENTIAL FUNCTIONS: 1) Answer telephone, handle customers\' inquiries and complaints. 2) Get mail from the post office and handle all correspondence. 3) Set up and post/advertise all meetings as required. 4) Handle administrative activities concerning billings, delinquent bills and disconnects. Accept payments of accounts, prepare deposit slips and deposit at the bank/banks designated by the Board of Commissioners. Enter all receipts for sewer and water billings into individual accounts and justify. Assist with collection of accounts and set up of payment agreements. 5) Prepare documents and checks for bill payment, process payroll for the District calculating hours, taxes and withholding, write checks, keep payroll records and process government reports. Transfer money from the Money Market account to the Checking account, as is necessary to cover the written checks. Report status of bank accounts at Board meetings, as required. Reconcile bank statements and make Federal and State deposits as is necessary. Prepare W-2\'s and end of the year reports. 6) Take and maintain minutes of the Board Meeting. Do research as may be required by the Board. Maintain the District accounting and file records, as required. 7) Have a working knowledge of the Caselle Systems, Utility Billing, Fund Accounting and Payroll Software Systems 8) Must be able to be bonded. 9) Prepare figures, estimated and real for the Budget Hearing in a timely manner. 10) Justify and prepare a list of delinquent accounts to be added to the tax roll and submit to the County and Town Clerk as required. 11) Justify and prepare a list of the Special Assessments and submit to the County and Town Clerk as required. 12) Prepare all accounts and accounting documentation for the annual audit and Public Service Commission Report. Assist the Auditor as needed. 13) Prepare the Customer Confidence Report annually and distribute. 13) Work on Projects for the District, as is necessary. 14) Other duties as assigned by the Board. 15) Keep a summary of hours worked. NON-ESSENTIAL FUNCTIONS: 1) Run errands, make deliveries and pick ups for the office. 2) Help to maintain a clean office. Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers. Answer telephones, direct calls, and take messages. Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints. Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer. Compile, copy, sort, and file records of office activities, business transactions, and other activities. Review files, records, and other documents to obtain information to respond to requests. Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail. Compute, record, and proofread data and other information, such as records or reports. Type, format, proofread, and edit correspondence and other documents, from notes or dictating machines, using computers or typewriters. Inventory and order materials, supplies, and services. Deliver messages and run errands. Collect, count, and disburse money, do basic bookkeeping, and complete banking transactions. Complete and mail bills, contracts, policies, invoices, or checks. Process and prepare documents, such as business or government forms and expense reports. Prepare meeting agendas, attend meetings, and record and transcribe minutes. Train other staff members to perform work activities, such as using computer applications. Troubleshoot problems involving office equipment, such as computer hardware and software. Complete work schedules, manage calendars, and arrange appointments. ***** OTHER EXPERIENCE AND QUALIFICATIONS: KNOWLEDGE SKILLS AND ABILITIES: Office experience in a similar position, a strong working knowledge of accounting, the ability to work well with customers, contractors and other employees and an ability to learn the Civic software computer system program. LANGUAGE SKILLS: Have an ability to read and interpret documents such as Board policies, ordinances, contracts, computer software instruction books, customer correspondence and procedures manuals.
