Job Title: Doctor’s Assistant Team Lead

Direct Supervisor: Hospital Manager

Direct Reports: Doctor’s Assistant team

Job Status: Non- Exempt

Summary:

this position is primarily responsible for managing a team; maintaining services and operational standards; supervising, coaching, counseling and training staff on protocols; ensuring adequate staffing and providing superior patient service by performing the following duties:

General Requirements

  • Detail-oriented and works effectively under pressure while meeting all applicable deadlines.

  • Must be able to work independently and productively with minimum supervision; able to manage multiple projects.

  • Recognize problems, identify possible causes and resolve routine problems.

  • Able to work a flexible schedule to include weekends and holidays.

Employee Management

  • Training, education, developing of staff

  • Monitor employee competence and effectiveness

  • Addresses employee issues and maintains appropriate documentation

  • Works with Hospital Manager to delivery any disciplinary action, performance improvement plans

  • Maintains a fair, consistent set of standards as they apply to work force.

  • Track employee attendance by updating an employee attendance spreadsheet

  • Receives notifications from staff when they are unable to work and coordinates with to cover any open shift

  • Works with team to create team schedule

  • Maintains staff vacations requests

  • Reviews timesheets, meal break premiums, overtimes to assure department is staying in line for payroll budget

  • Uses positive reinforcement to motivate team

  • Maintains presence on the floor and delegates tasks to team members to ensure smooth work flow

  • Works with the management team to develop and train work force, build relationships, and utilize skills of workforce most appropriately.

  • Develops, participates and oversees department’s performance standards, goals, and priorities

Client Management

  • Address client concerns professionally, notifying upper management when their attention is required.

  • Assists with managing the daily schedule and workflow to ensure clients and patients are seen in a timely manner

  • CareClub Champion (ensure careclub is utilized appropriately, stay up to date with changes to plans and how to utilize the services to maximize benefits to patients)

  • Assists with training staff in all client initiatives

Meetings

  • Attends monthly hospital management meetings

  • Attends bi-monthly ER doctor and GP doctor meetings

  • Attends both offsite and remote regional meetings

  • Assists is scheduling regular Doctor’s assistant department meetings

The pay range for a Department Coordinator Lead position is between $26 and $32 per hour depending on experience and skill level.
