Job Description

The Business Coordinator I, under general supervision, provides support and coordination of a variety of business activities requiring independent judgment, including reviewing business documents, and assisting in developing, monitoring, and reporting accounts and budget data as directed by the supervisor. Responsible for accounts payable, travel, and inventory in a small business office environment. Assists other business office employees as needed.

This position reports to the Business Administrator III.

Required Qualifications:

  • Bachelor’s degree from an accredited college or university or equivalent combination of education and experience. (Equivalency: Will consider an Associate’s degree with four years of experience or a High School Diploma/GED with Six years of experience.)

  • Two years of related general office, accounting, or personnel operations.

Required Licenses/Certifications:

  • Must have a valid motor vehicle operator’s license or ability to obtain within 30 days of employment.

Preferred Qualifications:

  • Bachelor’s degree from an accredited college or university in business or related field.

  • Two or more years of experience in accounting or personnel operations.

  • Two or more years of experience with accounts receivable/payable.

  • Two or more years of administrative or accounting experience with TAMUS.

Physical Requirements:

  • Ability to remain stationary for extended periods of time in an office environment.

  • Physical conditioning consistent with movement of moderately weighted office supplies/equipment, restocking office supplies, and receiving goods (i.e. computers, monitors, training equipment/materials) with assistance.

  • Standard office equipment: computer, keyboard, multifunctional printer, Teams phone.

Notifications:

  • This position is security sensitive.

  • This position may require work beyond normal office hours and/or work on weekends.

  • This position requires compliance with state and federal laws/codes and Texas A&M University System/TEEX regulations and procedures.

  • All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and Agency safety requirements.

  • As part of TEEX’s mission of providing training, developing practical solutions, and saving lives; this position could be required, if called upon, to deploy within the State of Texas as directed by this position’s Division Director/HQ Department Head.

  • Ability to travel independently to other and/or remote locations by driving a personal or TEEX vehicle and/or flying on commercial airlines.

Essential Duties, Tasks, and Percentages:

Accounts Payable - 40%

  • Prepares, verifies, and processes purchase orders and purchase vouchers.

  • Ensures proper coding on documents.

  • Monitors and reconciles multiple, complex accounts.

  • Assists with monitoring of the overall budget.

  • Maintains the division Procurement Card sign out log and assists with purchases as necessary.

  • Allocates Procurement Card Statements, ensures correct coding is used, and attaches proper documentation.

Division Travel Management and Coordination - 40%

  • Processes travel requests and travel expense reports ensuring proper coding is used.

  • Manages the Division Ghost travel card.

  • Coordinates activities associated with conferences, continuing education/professional development.

  • Coordinates the distribution of GoCards to Division employees and communicates the status of GoCards to TEEX Financial Services.

  • Interprets System policies and regulations and University rules to stay in compliance.

  • Ensures compliance with State, TAMUS, and TEEX travel policies and guidelines.

Coordinates Division Inventory - 10%

  • Coordinates vehicles registrations with vendors and TEEX Financial Services.

  • Coordinates the location of all inventoried equipment throughout the year.

  • Responsible for purchasing equipment through NIS, tracking orders, and ensuring items are added into Asset Panda.

  • Coordinates assets for surplus.

  • Oversees the mileage log process used to track TEEX vehicle use.

  • Reviews work requests and annual inventory certification for approval.

Business Office Duties Coordination - 10%

  • Serves as back-up to Business Admin I for phone-in credit card payments and posts customer payments by recording cash, checks, and credit card transactions in CashNet.

  • Processes incoming mail and financial documents received from TEEX Financial Services.

  • Coordinates the maintenance, reporting, and coding of division copiers.

  • Orders supplies for division staff and students.

Other Duties:

  • Performs additional work duties as assigned.
