The Office of Institutional Effectiveness and Evaluation is committed to fostering assessment practices university-wide by supporting the collection, analysis, management, and use of data. We facilitate efforts of continuous improvement to enhance student learning and strengthen the university’s programs, services, operations, and processes. Institutional Effectiveness – or “IE” – refers to the process of assessing the quality of student learning, educational programs, academic and student support services, and the administrative units across the university. OIEE staff support the institution in evaluating the extent to which established goals are met and help to facilitate the use of results from these evaluations to inform decision-making and improvements.

What We Want

The Office of Institutional Effectiveness and Evaluation (OIEE) is seeking an Administrative Coordinator to function as the office manager and administrative support for the Director of Institutional Effectiveness. This position requires an individual who is highly organized, detail-oriented, and proactive in managing the various administrative and operational tasks crucial to our team's success. This role will also provide day-to-day support in Scanning Services by supporting instructors with exam setup, scanning exams, and ensuring timely and accessible results. The ideal candidate is a proactive, detail-oriented self-starter with excellent organizational skills and the ability to work independently and as part of a team. Salary Range: $45,000.00 - $49,500.00 (Based on selected hire’s qualifications)

Qualifications

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Two years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Working knowledge of word processing, spreadsheets, database, and presentation applications, specifically Microsoft Office and Google applications (e.g., Google docs, Google sheets, Google drive).

  • Ability to communicate effectively and professionally both verbally and in writing with members of the university community on behalf of the office.

  • Ability to organize and manage multiple priorities effectively.

  • Ability to multi-task and work cooperatively with others.

Preferred Qualifications:

  • Advanced proficiency with word processing, spreadsheets, database, and presentation applications, specifically Microsoft Office and Google applications (e.g., Google docs, Google sheets, Google drive).

  • Proficiency with Tableau or similar reporting program.

  • Five or more years of experience providing related administrative support. Experience working in higher education.

  • Experience and comfort with online platforms and technology.

  • Experience maintaining website content and/or experience creating reports in Tableau.

  • Experience with any of the following: assessment support, office support, accreditation support or scanning services.

Essential Duties/Tasks

Office Support

  • Responsible for daily operations and ensuring proper workflow for OIEE.

  • This position serves as the office manager and thus is responsible for the following: issues related to maintenance, operations, and security of space assigned to OIEE; coordinating mail services; managing support tickets for equipment/computer-related needs and issues to be resolved; screening and addressing communications with the office (either through telephone calls or the office email accounts); serving and the department’s parking representative, processing routine payments, and coordinating arrangements and reimbursement for work-related travel (or other activities) for all OIEE staff.

  • Also responsible for maintaining an inventory of office supplies and equipment and placing orders to replenish supplies.

  • Routinely reviews and ensures adherence to office procedures, revising as necessary in collaboration with the office leadership team. Assists with the documentation of functional area administrative procedures.

Scanning Services

  • Responsible for processing scantron exams, including supporting instructors in exam set-up, scanning exams submitted to the office, and ensuring results are provided to customers in a timely and easily accessible manner.

Assessment Support

  • Responsible for supporting ongoing assessment and evaluation efforts managed in the online assessment platform.

  • Tasks include, but are not limited to, supporting the functional areas upon request in conducting tasks such as routine user audits and role assignments.

  • Answering routine questions from end users.

  • Responsibilities may also include coordinating logistical arrangements for training or coding sessions led by personnel within OIEE; maintaining a master calendar of assessment and evaluation deadlines to ensure timely completion of office objectives and priorities (e.g., reports); and, assisting functional areas in the upkeep of the OIEE website, including proofreading content, checking user access privileges, and verifying links.

Administrative Support

  • Provides general administrative support to the Director.

  • Tasks include but are not limited to: scheduling and calendar support, communications support, support for Comprehensive Program Reviews, and project organization and support.

  • Reviews and compiles information as requested.

  • Performs other duties as assigned.
