Administrative Assistant
Alliance Defending Freedom is looking for a highly professional Administrative Assistant to join us in our Scottsdale, AZ or Lansdowne, VA office. As an Administrative Assistant, you are a vital part of the Events team. In this role, you will report to the Director of Event Strategy. This position supports the broader event operations team as they plan and execute training and alliance-building events and programs, including the ADF Summit on Religious Liberty, Blackstone Legal Fellowship, Young Lawyers Academy, Policy Allies Workshop, and many other high-level events.
Your Essential Responsibilities:
In this position, you will support the events team in the execution of training and alliance-building programs to equip, engage, and grow the ADF alliance. Responsibilities include, but are not limited to:
Work with the Director of Event Strategy, providing administrative assistance in the intake process for ADF training and alliance-building events
Work directly with the Director of Event Strategy and an external vendor to source the best venues for ADF events by assisting with scheduling site visits of potential venues and attending and taking meeting minutes on vendor calls
Assist in the Request for Proposal (RFP) process by scheduling calls with potential vendors and stakeholders, ensuring that all stakeholders receive answers in a timely manner, and utilizing historical event data to include in RFPs as needed
Assist in the creation of event campaigns in Reliance, as well as making sure that attendees are accurately reflected in the appropriate campaigns
Take meeting minutes for all event debrief meetings and circulate to stakeholders, events team members, etc
Ensure accurate data is being entered and recorded in the system and build reports as needed
Monitor the ADF Summit email inbox
Manage calendar and submit expense reports for the Director of Event Strategy
Manage invoices, submit check requests to accounting, and request project codes for upcoming programs
Ensure that all communication items created for ADF Summit external distribution are accurate by assisting with the review of spelling, grammar, formatting, and alignment with overall ADF branding
Ensure that ADF’s record and retention policy is maintained for all program data
Other Responsibilities (Non-Essential):
Assist the events team with event preparation as needed
You will be asked to perform related duties or special projects as assigned; some may be outside of regular business hours
If needed, meet with internal stakeholders to gather event specific data to be used to submit a Request for Proposal
Skills you need to succeed:
Demonstrated proficiency in:
Excellent verbal, written, and interpersonal communication skills
Strong initiative and self-motivation
Microsoft Office Programs (Excel, Word, Outlook, PowerPoint)
Strong attention to detail and organizational skills to prioritize and meet deadlines
Ability to:
Learn and understand the nuances of ADF training and alliance-building events and programs and contribute to continuous improvement
Work collaboratively cross-team within ADF to execute high-impact program operations
Learn and apply software applications
Execute tasks with a high degree of precision
Anticipate the needs of the Event Strategy team
Manage a variety of responsibilities and projects with a wide variety of complexities
Multi-task effectively in a fast-paced environment
Professionally and appropriately handle privileged and confidential communications
Education and/or Experience:
- 1-3 years of administrative experience
