Events Marketing Specialist

Aon is looking to recruit an Events Marketing Specialist to join our team based in North America. Within this role you will be responsible for the planning and execution of events for Aon and working with cross-functional teams in a fast-paced environment! This role directly reports to the Events Marketing Manager.

What the day will look like:

Become a trusted member of our Events Marketing Team in the Center of Excellence for Events and Partnerships by supporting and/or owning delivery of magnificent event experiences. All planned job responsibilities for the Events Marketing Specialist role are listed below. However, listed responsibilities are subject to change based on shifting business needs and additional responsibilities may be added to the role over time.

  • Support our Events Marketing Team with the production of events from conception to completion with the goal of quickly owning all aspects of the event planning process for select events, which includes design and production, budgeting, venue selection, and logistical support.

  • Planning and executing of external and internal events, conferences, hospitality, and sponsorships (physical, virtual and hybrid)

  • Managing key dates and timelines of multiple events simultaneously, including building plans which consider guest experience, budget, timeline, communication requirements, and workplace that oversees all project workstreams.

  • Cross-functional collaboration with other marketing teams on event management processes, including Digital, Creative, Communications and Content, providing advice on best-in-class methods for each event and audience type.

  • Engaging with business leaders to understand their business goals and to align our events accordingly.

  • Communicating with relevant stakeholders to keep them informed of the event progress, logistics and post-event follow-up.

  • Developing and maintaining strong relationships with industry conference organizers, partnering with procurement to secure the best rates and sponsorship benefits to maximize budget.

  • Creating and sharing attendee reports and event data, post event reports, opportunities and measuring actionable ROI, budget reconciliation, promotion of follow-up activities, and guest feedback to demonstrate the value of events to the business and use learning’s to refine and improve future events.

  • Managing and reconciling event spend and budgets, processing all related payments.

  • Supporting event and compliance approval process.

  • Staff management pre, during and post event, of all event personnel including colleagues, venue staff and production crew.

  • Attending selected events to lead / assist in end-to-end event delivery to ensure a smooth, successful event.

  • Ensuring brand standards are consistently applied across event assets.

  • Recommending event process improvements to drive prospect attendance and leads to meet revenue and lead expectations.

  • Updating our marketing calendar and events website.

  • Maintaining inventory of event materials and supplies including ordering and shipping

  • Owning event setup in our event management technology system for hosted events and webinars, including building and maintaining registration websites, electronic invitations, and confirmations for each event, understanding system capabilities and reporting parameters to ensure data is captured appropriately and for improving productivity and customer experience.

  • Any other ad hoc duties as agreed.

    Skills and experience that will lead to success:

Strong candidates for this position will be able to demonstrate the following experience and skills that will lead to success:

  • Minimum of 3-5 years confirmed experience in marketing and event management in a global professional services or agency environment; in-person, hybrid, virtual experience a requirement.

  • Seamless coordination and execution of complex event logistics from start to finish.

  • Analytical and critical thinking with an ability to focus on the bigger picture and intricate details.

  • A team player, with a can-do attitude who enjoys working as part of a high performing team, but also has confidence to work independently.

  • Must have a positive and friendly manner, confidence, and professionalism, with a strong service orientation, high degree of flexibility, and the ability to work under pressure.

  • Creative thinking in elevating the team’s client events program, designing events that support marketing objectives ensuring that the format, audience experience and return on investment are carefully considered.

  • Stellar written and verbal communications skills with the ability to operate and liaise confidently to interact and communicate effectively with a variety of audiences at all levels of seniority, across functions and geographies.

  • Excellent organizational, problem-solving, negotiation and time management skills, with an ability to manage multiple projects independently.

  • Experience and knowledge of project management and budgeting principles, methodologies, and tools.

  • Ability to share an impressive portfolio of previously managed events that produced prominent levels of guest satisfaction and strong business results.

  • Hands-on experience using Cvent, or similar event management technologies, for event registrations, invitations, tracking, and reports.

  • Knowledge of marketing & events technologies including Eloqua, ON24, Monday.com, Salesforce, Marketo and other CRM and marketing technologies

  • Advanced proficiency in Microsoft Office, especially in Excel, PowerPoint, and Word

  • Ability to travel nationally and regionally to provide on-site event logistics support when required.

  • A bachelor’s degree or higher, preferably with a major in business, marketing, hospitality or tourism from an accredited college or university.

Pay Transparency Laws:

The salary range for this position (intended for U.S. applicants) is $61,600 to $85,000 annually. The actual salary will vary based on applicant’s education, experience, skills, and abilities, as well as internal equity and alignment with market data. The salary may also be adjusted based on applicant’s geographic location.

The salary range reflected is based on a primary work location of Chicago, IL. The actual salary may vary for applicants in a different geographic location.

This position is eligible to participate in one of Aon’s annual incentive plans to receive an annual discretionary bonus in addition to base salary. The amount of any bonus varies and is subject to the terms and conditions of the applicable incentive plan.
