Port of Vancouver Real Estate Assistant (rep term up to 18 months) in Vancouver, British Columbia

The Vancouver Fraser Port Authority is responsible for the stewardship of the Port of Vancouver, Canada’s largest and most diversified port. Our mandate as a Canada Port Authority, as set out by the Canada Marine Act, is to enable Canada’s trade objectives, ensuring goods are moved safely and responsibly through the Port of Vancouver. That means providing infrastructure and ensuring the safe and efficient movement of marine traffic and cargo within the port. It also means we carry out reviews of proposed activities and developments on federal port lands and waters to determine whether a project can go ahead without impacts to the environment and community that cannot be mitigated.

The Real Estate Assistant performs property management functions of a less-complex nature including administering standardized agreements for low risk uses such as short-term agreements, barge moorage and log storage property agreements, recreational docks, and filming as assigned. The role also provides administrative support to senior real estate staff and managers on real estate matters.

What youdo:

  • In accordance with VFPApolicies and guidelines, administers less-complex standardized lease andlicense agreements, for lower risk uses including Short Term Use, Log Storage,Barge Moorage and Recreational Docks, and including but not limited to newagreements, amendments, assignments, terminations and other routine agreementsfor the use of VFPA property under the guidance of senior departmentalemployees and/or managers.

  • Draft submissions andother documentation as required for management approvals

  • Conduct routine siteinspections as required to ensure compliance with agreement terms and identifyunauthorized use of VFPA property.

  • Communicate withtenants/licensees regarding agreement terms.Collect rents and other charges as required.

  • Administer the short-termuse of VFPA property from initiation through to execution of short-term useagreements with terms and charges in accordance with VFPA’s Short Term UseGuidelines.

  • Coordinate appropriaterequirements from relevant internal/external contacts.

  • Prepare contracts forsignature and ensure receipt of insurance and user charges.

  • Coordinate propertyagreements for log storage and barge moorage utilizing VFPA precedent documentsand rent calculated in accordance with predetermined rates for such uses.

  • Coordinate the issuanceof agreements utilizing VFPA precedent documents and standardized charges. Ensure agreements are returned in a timelymanner and verify registration in Land Titles Office as required.

  • Compose routinecorrespondence, as required.

  • Provide support tosenior departmental employees on agreements as required, including completingdue diligence, research, drafting submissions, filing and electronic recordkeeping etc. \

  • As assigned, compilereports from available Departmental and Organizational database software.

  • Ensure departmentalrecords are up to date.

  • Ensure receipt ofrequired insurance policies and certificates.Review insurance documents for consistency with agreement requirementsfollow up as necessary.

  • Compile information orgenerate reports as assigned.

  • Prepare, administer,process and route real estate contracts as required.

What you bring:

  • One year of part-timepost-secondary studies in property management, land law or another relateddiscipline along with two years’ experience in a real estate environment.

  • Experience working witha property management database is required.

  • Experience preparingreal estate contracts and knowledge of leases and lease terms are an asset.

  • Must have demonstratedgood work habits.

  • In addition, he/shemust be able to receive instruction on complex matters and have the initiativeand ability to work independently and be self-motivated.

  • As an integral part ofthe group, this individual must be a team player, able to work cohesively withothers, and possess superior organizational skills.

Job type: Bargaining Unit, Full-Time, Temporary, Hybrid

Working environment: Normal office conditions with site inspections of VFPA properties, as required.
