Robert Half Administrative Assistant in Utica, New York

Description We are offering a contract to hire employment opportunity for an Administrative Assistant in the private medical industry based in Utica, New York. The role primarily involves providing administrative support to faculty and administrative leadership, with a range of responsibilities including arranging travel, coordinating meetings, and maintaining organizational charts.

Responsibilities:

• Provide comprehensive administrative support to faculty and administrative departments

• Arrange travel for faculty and administrative staff

• Take detailed meeting minutes and distribute them to all staff, faculty, and compliance committee members

• Schedule and coordinate monthly faculty meetings, educational seminars, and invited speaker series

• Manage and update the institute's organizational chart

• Assist with the onboarding process for new hires and students

• Run reports to ensure employee compliance and that all required training is up to date

• Receive and organize applications for the yearly summer fellowship program

• Coordinate with HR leadership to provide offer letters to selected candidates

• Assist with various administrative tasks including mailings, events, and miscellaneous meetings.

Skills:

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

• Excellent customer service skills

• Ability to handle both inbound and outbound calls

• Strong data entry skills

• Ability to schedule appointments efficiently

• Proficient in email correspondence. Requirements • Minimum of 2 years' experience in an administrative role within the Private Medical industry

• Proficiency in using Microsoft Office Suite applications, including Word, Excel, PowerPoint, and Outlook

• Demonstrated ability in answering inbound and outbound calls

• Proven customer service skills and experience

• Experience in data entry and maintaining accurate records

• Experience in email correspondence and professional communication

• Ability to schedule appointments and manage calendars effectively

• High school diploma or equivalent qualification is required

• Excellent organizational skills and attention to detail

• Strong verbal and written communication skills

• Ability to work independently and as part of a team

• Strong problem-solving skills and ability to make decisions under pressure

• Ability to maintain confidentiality and handle sensitive information with discretion

• Willingness to learn and adapt to new technologies and systems as needed

• Strong multitasking abilities and ability to prioritize tasks effectively.
