Job Summary
Serve as primary administrative support for the Executive Associate Dean (EAD) and Assistant Dean for Diversity, Equity, Inclusion, and Accessibility (DEIA).
Duties & Responsibilities
Administrative Support (Executive Associate Dean):
- Provide daily administrative support to the Executive Associate Dean (EAD), including but not limited to calendar management, meeting scheduling and associated materials, and travel arrangements and reimbursements.
- Manage the complex workflow of the Executive Associate Dean, track important deadlines and keep the EAD apprised of upcoming meetings, priorities, and tasks.
- Provide assistance to the Executive Associate Dean with iSchool promotion and tenure cases, third-year reviews, new faculty orientation, and faculty onboarding as needed.
- Transcribe notes at meetings as requested by the Executive Associate Dean.
- Assist the Executive Associate Dean with special projects and tasks as requested, including but not limited to Academic Program Review and ALA accreditation.
Administrative Support (Assistant Dean for DEIA):
- Provide administrative support to the Assistant Dean for DEIA, including but not limited to meeting scheduling and associated materials, travel arrangements, and reimbursements.
- Assist the Assistant Dean for DEIA with special projects and tasks as requested.
Other Administrative Support:
- Provide support to the Diversity Committee and other iSchool special or ad hoc committees as directed. Serve as backup to iSchool program committees as needed. Coordinate with chair and committee members to gather member availability and schedule meetings accordingly. Work with the chair to prepare meeting materials, including soliciting agenda items, and distribute agendas and materials to committee members in advance of each meeting. Assist with managing Box folders and/or MS Teams space for committees. Transcribe minutes/notes at each meeting and file and distribute accordingly.
- Provide administrative support to other iSchool senior leadership members, including the Senior Assistant Dean for Communications and Marketing and Assistant to the Dean, as requested.
Other:
- Assist with other iSchool event planning, setup, and/or attendance, including convocation, as requested.
- Serve as backup to the receptionist in the dean\'s suite as needed.
- Perform other duties as assigned.

Minimum Qualifications
Per SUCSS Class Specification High school diploma or equivalent. Any one of the following from the categories below: Four (4) years (48 months) of work experience comparable to the third level of this series. Two (2) years (24 months) of work experience comparable to the fourth level of this series.
Preferred Qualifications
Proficiency with Microsoft Office suite (Outlook, Word, Excel), MS Teams, Zoom, and Box
Knowledge, Skills and Abilities
Strong organizational skills and good oral and written communication skills -Ability to exercise discretion, confidentiality, and sound judgement is required -Ability to learn new technologies and work well with the general public and colleagues -General knowledge of University policy and procedures is preferred
