The Engineering HR Shared Services (HRSS) team in The Grainger College of Engineering seeks applicants for a Human Resource Assistant position. This position is responsible for performing support duties for the department\'s Human Resources team.

Duties & Responsibilities

  • Search assistance:

    • Assist HR staff members with search coordination, including (but not limited to): advertising, creating individual search folders, scheduling committee meetings, coordinating and scheduling interviews, communicating with candidates and committee members.
    • Access information in the applicant tracking system to obtain the final approved documentation and place in individual search folders.
    • Use existing templates to draft offer letters for HR staff members to review.
    • Create personnel files for individuals hired, placing appropriate electronic documents into the files.
    • Schedule new hire orientation sessions.
```{=html} <!-- --> ``` - **Appointment processing:** - - For recurring appointments (i.e. Named Faculty Appointments), complete stipend election forms and send to faculty members for their elections, gather completed forms for personnel files, and process reappointments. - Process Service In Excess payments for faculty teaching across multiple campuses, per the multi-campus compensation agreement. Send offer letters, collect travel information, and process payments for eligible faculty each semester. ```{=html} <!-- --> ``` - **Compliance Tracking:** - - Assist HR staff with tracking completion of annual trainings (ANCRA, Ethics, Title IV, etc.). Access completion records, send reminders, and notify supervisors of non-completion. - Assemble and assist with the process/collection of annual performance reviews, job description maintenance and updates, etc. Track completion of performance reviews and send reminders to supervisors, as needed. Draft employment verification letters for faculty, staff, and students, as directed.

  • Assume additional appropriate duties to further the mission of the organization.
. **Minimum Qualifications**

  1. High school diploma or equivalent.
  2. Any one or any combination totaling one (1) year (12 months) from the following categories below:
A. related field, as measured by the following conversion table or its proportional equivalent: \* 30 semester hours equals one (1) year (12 months) B. work experience performing basic human resource/payroll or general office support duties. **Preferred Qualifications**

  • Undergraduate bachelor\'s degree.
  • 1-2 years of experience in job area.
**Knowledge, Skills and Abilities**

  • Ability to provide excellent service to internal and external customers.
  • Knowledge of MS Word, Excel, Outlook, and other general computer systems used for email, written correspondence, document production, and tracking.
  • Effective verbal and written communication skills.

Appointment Information

This is a 100% full-time Civil Service Human Resource Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the closing date.This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The entry-level salary for this Human Resource Assistant classification is \$34,164 (\$17.52/hr). Hybrid work options may be available for this position, with the ability to be on-site as needed. Work authorization is not available for this position.
