Division of Public Safety

The Division of Public Safety is now accepting applications for a Detective Bureau Administrative Aide to provide administrative support to the Detective Bureau. This position will complete complex clerical and administrative tasks involving highly confidential materials and must adhere to strict policies and procedures. The Detective Bureau Administrative Aide will serve as a liaison between campus and community partners, including other law enforcement agencies and government offices.

Duties & Responsibilities:

  • Facilitate effective internal and external communication through mail, email, phone, video, and electronic communication platforms.
  • Work closely with the evidence custodian assisting with evidence intake, logging, transfer, and management.
  • Assist with staff scheduling.
  • Assist with project planning and manage associated deadlines and responsibilities.
  • Coordinate meetings by scheduling, drafting agendas, and recording accurate minutes.
  • Manage the detective bureau budget.
  • Supervise student workers, extra-help, or interns as required.
  • Manage and control confidential user accounts and credentials for detective bureau resources.
  • Complete and review final drafts of documents and forms for appropriate spelling, syntax, and format.
  • Maintain familiarity with department policies and procedures impacting the detective bureau and provide input for revisions/updates as needed.
  • Assist with workflow and process improvement.
  • Obtain and stock supplies and materials for use by the detective bureau.
  • Scan, digitize, and file documents.
  • Manage and track distribution of records to and from outside agencies.
  • Run inquiries and compile data from various law enforcement and department resources. Provide summaries and conduct redactions as required.
  • Submit written requests as required for internal process and efficient workflow.
  • Create and update records.
  • Perform other duties as assigned.

Minimum Qualifications:

  • High school graduation or equivalent.
  • Any one or any combination totaling five (5) years (60 months) from the following categories:
    • college course work in business, finance, accounting or a related field:
      • 60 semester hours or an Associate\'s degree equals one (1) year (12 months)
      • 90 semester hours equals two (2) years (24 months)
      • 120 semester hours or a Bachelor\'s degree equals three (3) years (36 months)
      • Master\'s degree or higher equals four (4) years (48 months)
    • progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles.

Knowledge, Skills and Abilities:

  • Knowledge of records management systems.
  • Ability to troubleshoot issues and find effective solutions.
  • Strong written and verbal communication skills for interacting with various agencies and departments.
  • Flexibility to adapt to changing procedures and requirements.
  • Ability to manage time effectively to meet deadlines and ensure timely processing of documents.
  • High level of accuracy in data entry and document management.
  • Ability to manage multiple tasks and maintain organized records.
  • Ability to adhere to department policy and procedure.

Appointment Information:

This is a 100% full-time Civil Service 0058 - Administrative Aide position, appointed on a 12-month basis. The expected start date is as soon s possible after the close of the search. The budgeted salary range for this position is \$60,000.00 - \$70,000.00. Salary is commensurate with qualifications and experience.
