JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Leadership, Development, Culture, and Student Programs (LCS) office in the Applied Research Laboratory at Penn State is seeking an Administrative Support Assistant to join our team. ARL’s purpose is to research and develop innovative solutions to challenging scientific, engineering, and technology problems in support of the Navy, the Department of Defense (DoD), and the Intel Community (IC). In this position, you will coordinate all administrative operations and activities of the LCS office, anticipating the needs of the Chief Diversity Officer and LCS team members to assist them in staying focused on time-sensitive deliverables by resolving operational, tactical, and administrative issues before they arise.

You will:

  • Plan, organize, and coordinate an extensive array of administrative activities for the LCS team

  • Incorporate efficient and effective responsiveness into existing operations, and assist in defining new operational strategies

  • Arrange and coordinate meetings, projects, and events, including providing pre- and post-event support; collaborate with ARL employees in all logistical details to support the efforts; manage calendars, book travel, schedule facilities and equipment, and process payments

  • Source, enter, and process data for LCS programs and initiatives

  • Maintain student records, files, and databases

  • Compose, prepare, communicate, and process various internal and external reports, correspondence, and forms

  • Assist in the supervision and training of two part-time assistants

T his position will be filled at the Intermediate Support level. Minimum requirements include a High School Diploma and 2+ years of related experience.

Required skills and experience include:

  • At least one year of successful direct executive support, administrative operations management, non-technical project management, or event planning experience

  • Proficiency in Microsoft Office

  • Willingness to adhere to an expectation of complete discretion and confidentiality

  • Strong organizational skills and attention to detail

  • Professionalism with a high commitment to customer service

  • Willingness to consistently contribute as a member of a high-performing, purposeful, and results-driven team and in a hierarchal work environment with minimal supervision

  • Ability to take initiative and masterfully manage time, prioritizing multiple functions and tasks efficiently and effectively

  • Excellent interpersonal and communication skills

    Preferred skills and experiences include:

  • A Bachelor's degree or equivalent combination of education and experience

  • Proficiency in Yello, SIMBA, Confluence, Workday, and SAP Concur,

  • Ability to foster a welcoming and inclusive environment for diverse members of the public, students, staff, and colleagues within the university

    Your working location will be fully on-site, located in State College, PA.

The salary range for this position, including all possible grades is:

$38,300.00 - $55,500.00
