JOB DESCRIPTION AND POSITION REQUIREMENTS: The Office for Research and Graduate Education (RGE) in the College of Agricultural Sciences is seeking an Administrative Assistant to facilitate and provide support for the Agricultural Experiment Station (AES), budget management and human resource document processing for the Office of Research and Graduate Education (RESGRADED), Research and Extension Centers (REC), and other administrative areas.

As a part of a two-person team, this position will share in the detailed responsibilities of administering one-half of the Ag Experiment Station (AES) portfolio.

Primary responsibilities include but are not limited to:

Coordinating the screening, assembling, and formatting of materials submitted for the establishment of local, state, or nationally focused research projects under the AES, requiring access to confidential files and access to necessary university and federal systems (i.e. NRS, NIMSS)

Supporting RESGRADED in financial operations that require access to university systems such as SIMBA, Workday, SIMS, and eSteward, including monitoring and reporting of funding sources in accordance with established policies and procedures in relation to research and experiment station activities (including the Office of Grants and Contracts, USDA Agricultural Research Service (ARS) Pasture Lab, and three off-campus Research and Extension Centers)

Preparing correspondence and responses to inquiries from academic units regarding financial transactions or AES, including assisting with the life cycle of AES projects

Reviewing documentation submitted for filing technology disclosures (Intellectual Property Management) and processing royalty payments; interacting with the Office of Technology Management (OTM) to ensure appropriate documentation is filed and policies are followed

Maintaining pertinent databases (Filemaker, Info Ready) including performing data entry, tracking projects, royalty payments, technology disclosures, creation of spreadsheets, and providing assistance with development of reports

This is a limited term position funded for one year from date of hire with excellent possibility of refunding.

Education and Experience: This position will be filled at an intermediate or senior support level depending upon the successful candidate's competencies, education, and experience. Minimum requirements for the intermediate support level include a high school diploma or higher with two or more years of related experience or an equivalent combination of education and experience. Additional experience and/or education and competencies are required for higher level jobs.

The successful candidate must be highly motivated, organized, and detail-oriented while having professional written and verbal communication skills, excellent interpersonal skills, and a teachable spirit. The staff member must be able to work as both a member of a team as well as independently. This position requires the ability to follow established procedures and processes as well as being able to develop and enhance current and new processes.

Experience and proficiency in SAP Concur, Microsoft Office (Outlook, Word, Excel, SharePoint/OneDrive), and Zoom is required.

Preferred skills include familiarity with SIMBA (financial management, budgeting, and accounting software), InfoReady, and Filemaker as well as familiarity with and the ability to train others in using the USDA National Reporting System (NRS) and the National Information Management and Support System (NIMSS).

Work Arrangements: This position requires the successful candidate to work in person, on campus.

The salary range for this position, including all possible grades is: $38,300.00 - $61,000.00
