GENERAL STATEMENT OF DUTIES: The Service Advisor is pivotal in managing workflow and customer interactions within the Fleet Services Department. This role is designed to ensure effective service and repair scheduling, accurate record-keeping, and seamless coordination between technicians and end users to enhance overall operational efficiency and customer satisfaction.

This role primarily involves administrative responsibilities related to fleet maintenance, including scheduling, task assignment, and record maintenance. The Service Advisor operates under the supervision of the Maintenance Shop Supervisor and performs duties both indoors and outdoors, with exposure to various environmental conditions.

Schedule and coordinate routine maintenance and emergency repairs to ensure efficient workflow and minimize delays.

Create and audit repair orders to ensure completeness and accuracy.

Serve as the primary point of contact for employees bringing in equipment and vehicles for service.

Communicate service recommendations, estimated timelines, and updates on delays or additional repairs to operators and technicians.

Assist technicians in diagnosing vehicle issues.

Manage inventory of parts and supplies, coordinating with suppliers for orders and replenishment.

Maintain records of maintenance, repair activities, parts used, labor performed, and associated costs.

Track and manage vehicle data, including in-service dates, tire usage, fuel consumption, cost of ownership, warranty repairs, and external repairs.

Collaborate with insurance adjusters and parts suppliers for estimates, ordering, and delivery.

Enhance record-keeping processes to support the Fleet replacement schedule and prevent breakdowns.

Operate industry-specific software for vehicle repair information and manage transaction entries.

Respond courteously and promptly to inquiries from citizens and City employees.

Perform all duties in accordance with City policies, procedures, and safety practices.

Perform other related duties as required.

QUALIFICATIONS: The following are required: A high school diploma or equivalent GED, 1-3 years of experience in equipment or vehicle maintenance or repair, a valid Idaho Driver license.

The Service Advisor role requires clarity of speech and hearing to effectively discern instructions and communicate, visual acuity for comprehending written work instructions and reviewing materials, manual dexterity to operate diagnostic equipment and a personal computer, and physical stamina to stand or sit for extended periods, lift up to 50 pounds, and work in both office and automotive repair shop environments.
