FirstService Residential Administrative Assistant in Tucson, Arizona

Job Overview:

As the Administrative Assistant you will provide support to the General Manager which includes assisting homeowners and performing other administrative duties to ensure we deliver exceptional services and solutions that enhance the value of the property and the lifestyle of the residents.

Compensation: $21 per hour

  • FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Your Responsibilities:

  • Perform general administrative tasks (service requests/ work orders, architectural requests, tracking deposits, process payments, budget preparation, operations reports, etc)
  • Assist and follow up with homeowners, board members, and vendors
  • Answer and direct phone calls in a polite, friendly, and professional manner
  • Assist homeowners in lobby as needed
  • Be knowledgeable of governing documents, rules and regulations
  • Escalate issues as needed
  • Assist with meeting preparation
  • Attend board meetings as needed, take minutes and provide general support
  • Assist in organizing community events and related materials
  • Assist in sending out monthly newsletters, resident eblasts and community alerts
  • Conduct routine compliance inspections and track violations as needed
  • Coordinate key fob set up and amenity access

  • Able to prioritize and adjust to incoming demands
  • Proficient with MS Office suite

Education and Experience:

  • Property management/ HOA experience a plus
  • 2+ years of office experience required

Physical Requirements:

  • Sit or stand for extended periods of time in an office environment
  • Able to safely lift, carry, and move up to 20 pounds

Physical Requirements:

  • Walk and move throughout the community common areas and facilities
  • Sit and stand for moderate periods of time
  • Sit at a desk using a computer in an office setting

Work Location : Rancho Vistoso Community Association; 1171 E Rancho Vistoso Blvd #103 Oro Valley, AZ 85755

Work Hours: Monday – Friday, 9a – 5p with some evenings and weekends as needed.

Travel Requirements: Some local travel with use of personal vehicle.
