Sanofi Group Executive Assistant, Vaccines GBU in Tokyo, Japan

JOB DESCRPTION

Purpose of the role:

The incumbent integrally supports and facilitates the efficiency of the Vaccines GBU, primarily by, but not limited to:

  • Manages the Vaccines GM’s schedule in alignment with the overall Vaccines team’s calendar and proactively supports in coordinating related priorities and agendas on behalf of the GM with the LT, team, Japan Country Council and relevant global colleagues.

  • Monitors governance for the leadership team (LT) as well other relevant internal stakeholders, (i.e., coordinating monthly LT meetings and selected other governance meetings, review of key annual priorities, 1:1s with the GM, ad-hoc meetings, …)

  • Assumes project management accountability on selected projects and/or new initiatives including proposing solutions for issues, such as security for lost document, direct mails arrangement, printing cost etc.) if appropriate.

  • Coordinates with global/P&C/Finance/other business partners on key deliverables/processes, take necessary actions including visit/travel arrangement and drives the team to be on time/taking correct actions.

  • Continuously strives to be a specialist for relevant processes and proactively drives efficiency and simplification (“Volcano” ambassador), e.g. by collecting and challenging information on system*/process changes and disseminating to relevant stakeholders (by creating brief manual or bulletin board on Teams or Viva Engage, or similar) *ProxyClick, FIORI, Software update (Think Cell/PDF), etc.

  • Supports relevant internal and also external meetings in alignment with GM, e.g. offsite workshops, global visitors by coordinating agenda, venues, attendees, visas, and facilitation as needed.

  • Supports communication in coordination with Communication BP and P&C BP as well as budget management with Finance BP for topics as defined by GM, and selectively with country council and Vaccines leadership team.
