This position includes administrative duties and projects, requiring initiative and the use of sound judgment and discretion, independent assessment, and resolution of complex situations/problems. This role will be a critical, highly valued member of the team and will learn about some of the most exciting aspects of the pharmaceutical marketplace.

Responsibilities of this role will include, but are not limited to, the following:

  • Provide general administrative support to the Marketing and Sales Commercial Retina Commercial Leader and Medical Leader, as well as their reporting teams where applicable

  • Manage highly complex calendars of Marketing and Sales Commercial Retina Commercial Leader and Medical Leader

  • Make travel arrangements (e.g., manage calendars and heavy travel scheduling including internal and off-site meeting planning, schedules, updates, etc.) and utilize Concur to prepare expense reports.

  • Coordinate recruiting efforts through scheduling of interviews and onboarding of new personnel

  • Engage in routine and complex document preparation and file management.

  • Schedule/arrange meetings

  • Communicate with internal/external partners at all levels of the organization.

  • Exercise independent judgment in establishing and proactively revising priorities within assigned responsibilities.

  • Independently organize large internal department or cross-functional meetings onsite or offsite.

  • Prepare and handle confidential correspondence.

  • Proactively stay informed of company policies, procedures and guidelines relevant to the functioning of the department and provide guidance of such to applicable staff with relevant reminders of upcoming events and projected related deadlines.

  • Provide excellent collaboration and teamwork skills.

Qualifications

  • A minimum of a high school diploma is required. An Associates or Bachelor’s degree is preferred.

  • A minimum of 4 years of administration experience is required.

  • Proficiency in Microsoft Word, Outlook, Excel and PowerPoint is required.

  • Proficiency in eMP or other online purchase order system is required.

  • Proficiency in Concur or other online travel arrangement system is required.

  • Strong verbal and written communication skills are required.

  • Strong multi-tasking skills are required.

  • Analytical skills are preferred.

  • Organization skills and ability to establish and revise priorities within scope of responsibilities is required.

  • Ability to use good judgment and work independently, under minimal supervision is required.

  • The individual selected will maintain security and confidentiality of highly sensitive documents, information and proposals.

  • This position is located in Titusville, NJ and may require up to 5% travel.

This position is overtime eligible.

  • Work, Personal and Family Time - up to 40 hours per calendar year
