JOB PURPOSE/SUMMARY:

This position will coordinate all administrative functions and provides multifaceted administrative support to a work group of four vice presidents in our Utility Operations group. This will be a dynamic role that handles schedule, invoice, & timesheet management, as well as travel and expenses. The role will also involve coordination between the VP’s as well as their respective staff located amongst various states in our service territory.

Responsibilities for this role may also include running and tracking projects and programs associated with senior management administrative support, accurately producing a variety of reports and presentations using the appropriate software for word processing, graphics, and spreadsheets, preparing and/or updating functionally related reports and records, developing and/or participating in special projects that may include planning town hall meetings as well as department sponsored volunteer events.

JOB DUTIES/RESPONSIBILITIES:

  • Provide secretarial and administrative support a team of four Vice Presidents.

  • Manage calendar, schedule events, travel arrangements, departmental meetings, and arrange conference calls.

  • Manage correspondence and routine documents and presentations given minimal direction.

  • Prepare documents, spreadsheets, presentations, interoffice correspondence, and copies.

  • Manage administrative affairs of the department including invoice processing, supply equipment procurement, training records, etc.

  • Handle multiple assignments, work within deadlines, and maintain confidentiality of departmental issues.

  • Be proactive in forwarding work issues to the appropriate managers/supervisors.

  • Event planning within the department such as volunteer events, town hall meetings, onsite team meetings, etc.

MINIMUM REQUIREMENTS:

Minimum education required of the position:

  • Typically requires vocational training, apprenticeships, or the equivalent experience in related field (not typically required to have a four-year degree).

Minimum experience required of the position:

  • 8+ years of relevant experience

  • Highly Preferred: Previous experience as an administrative assistant, executive assistant, or personal assistant.

Minimum knowledge, skills, and abilities required of the position:

  • Must have typing ability.

  • Must be proficient in MS office tools - Word, Excel, and PowerPoint, etc.at an intermediate to advanced level.

  • Requires expert customer service skills.

  • Requires the ability to maintain confidentiality.

  • Desired:

  • Expert level organizational and time management skills

  • Experience with stakeholder engagement and support

  • Experience with internal corporate event planning

Any Certificates, Licenses, etc.:

  • Must be EEI SASS test recommended.
