Job Description

PURPOSE

This position plays a vital role in ensuring the smooth operation of our terminal by coordinating rail orders, managing inventory, order processing and providing exceptional customer service. You will be responsible for a variety of tasks, including data entry, communication with customers and internal teams, and maintaining accurate inventory records. The successful candidate will be a team player with strong communication skills and the ability to manage multiple tasks simultaneously.

DUTIES AND RESPONSIBILITIES

Below is a list of essential duties of this position. NOTE : Other duties may be assigned as needed.

  • Meet with railroad representative’s early mornings (6:30 am, one week alternating) to review paperwork for rail orders.

  • Interface with ports online rail service systems and enter data for rail services.

  • Monitor and respond to incoming emails efficiently.

  • Maintain accurate inventory levels and communicate updates to customers daily.

  • Utilize multiple software systems including Terminal Data System (TDS), or Tank inventory system (TIS), and Oil Movement Manager (OMM), Rail Connect, and SAP.

  • Analyze data using Excel proficiently. (including data entry and knowledge of formulas).

  • Utilize Microsoft Office applications proficiently.

  • Leverage loss control or inventory experience to ensure balance in product material movements.

  • Reconcile discrepancies and possess strong problem-solving skills.

  • Convert units between gallons, pounds, and metric measurements.

  • Communicate with inspection companies to confirm product movements and quantities.

  • Investigate and resolve bulk liquid volume variations between book and physical inventories

  • Act as a liaison with customers.

  • Utilize strong written and verbal communication skills.

  • Collaborate effectively with internal teams to resolve customer issues.

  • High school diploma or equivalent preferred.

  • Minimum 2 years of experience in a related field, such as logistics, inventory management, or customer service.

  • Experience working with multiple software systems a plus.

  • Experience with data entry and proficiency in Excel, including formulas.

  • Strong attention to detail and excellent problem-solving skills are essential.

  • Ability to work independently and as part of a team to achieve common goals.

  • Must be able to backfill for other team members when necessary.

  • Ability to work a set schedule (7:30 am - 4:00 pm, Monday - Friday) with occasional rotating early mornings (6:30 am to 3:00 pm) and potential overtime and weekend based on customer needs.

  • Strong communication skills, written and verbal.

  • Ability to manage multiple tasks efficiently and prioritize effectively.

Working Conditions and Environment: While performing the duties of this position, the individual generally has good working conditions. The employee is often exposed to moderate noise from office equipment and co-workers. This role may occasionally require working outdoors in the terminal environment.

Physical Requirements/Activities: While performing the duties of this position, the individual is regularly required to stand, walk, sit, carry, reach with hands and arms, use hands and fingers, handle, feel, use office equipment, and communicate (talk and hear). Occasionally the employee is required to kneel, bend, push, pull, lift, or twist. Occasionally the employee is required to lift or exert force of up to 10 pounds. Intermittently, the employee is required to lift or exert force of up to 25 pounds. Specific vision ability required is close vision of 20 inches or less.
