The Work You Will Do:

This is a ­­­­­­Planner I position in the Division of Air Resource Management’s Office of Business Planning reporting to the Senior Management Analyst II. Will conduct organizational studies and evaluations on office procedures providing technical assistance and developing procedures to assist the division to operate more efficiently and effectively. The primary responsibility of this position is to assist management on a variety of administrative matters, including purchasing, payment processing, training development and tracking, travel procedures, website updates and special projects.

The Division of Air Resource Management is charged with regulation of Florida’s air resource, including air quality monitoring, permitting and ensuring compliance of emission sources. Through a variety of services for our customers – the public and industry – the division regulates the state of Florida’s air resource fairly, consistently, and efficiently, while implementing state, federal, and U.S. Environmental Protection Agency requirements and enabling the economic development of the state. The Division provides these services through its Director’s Office, Office of Business Planning, Office of Air Monitoring, Permit Review Section, and Compliance Assurance Section.

    Pay:

    Salary Range Annually $45,000 - $50,000 (Commensurate based on experience)

    Your Specific Responsibilities:

    Purchasing, P-CARD, MFMP, WORKS, ELF

    Serves as the assistant and main backup for the D ivision's purchasing, P-Card, and MFMP coordinator. Prepares and/or reviews purchase requisitions and supporting justification documents for processing and payment. Assists with clearing charges in WORKS. Assists with paying utility and other bills via ELF.

    Assistant to the Training Coordinator

    Serves as the main backup to the Training Coordinator. Assists with the compilation, implementation, and tracking of the Division’s Annual Employee Development Plan. Has the role of co-coordinator within the People First Learning Management System (LMS) and assists with Division internal training development, external training tracking, and reporting.

    Daily Operational Support

    Provides general operations support to division staff with a primary focus on travel processing for approval, payment, general information. Assists the Division Budget Coordinator as needed with contracts, grants, and budget tracking. Assists the Grants/Contract manager as needed with contract development and payments. Assists with website updates including ADA compliance.

    Other Duties

    Provides general operational support to Office of Business Planning staff and management as necessary, including but not limited to special projects, coordination of briefings, meetings, and workshops. Performs other duties as required.

    Required Knowledge, Skills, and Abilities:

    Knowledge of office procedures and practices, purchasing, disbursements, travel documentation, and the Learning Management Systems

    Skilled in the use of a personal computer and general office equipment

    Ability to communicate effectively verbally and in writing

    Ability to maintain orderly filing systems

    Ability to plan goals, objectives and activities and schedule related tasks, to use good organizational skills

    Ability to work effectively with peers, management, industry and the public

  • Knowledge and/or experience with coordinating and supporting work-related travel (i.e., processing for approval, payment, and general information for travelers)

  • Knowledge and/or experience with contracts or grants (including both the development process and payment process) and tracking budgets related to contracts or grants

  • Knowledge and/or experience with managing and updating website contents

  • Knowledge and/or experience with providing operational support in a corporate or government office environment, including maintaining shared calendars, coordinating intraoffice communications, and scheduling and coordinating meetings, workshops, or events

    Associate’s degree from an accredited college or university and one year of verifiable related experience;or any combination of post-secondary education or verifiable related experience, as described above, for a total of three years.
