Duties and Responsibilities
As a HSMV Section Supervisor, you will be responsible for supervising the activities of a medical phone staff and correspondence staff who handles a very high volume of challenging calls and mail inquiries. You will also be responsible for managing the scanning of all incoming mail and the conversion of medical files to a digital format. Additional duties include supervision of daily office operations, coordinating staff training and development, ensuring proper service levels to our customers, auditing and analyzing policies and procedures, conducting process improvements, and resolving administrative and operational issues which may arise via telephone and/or emails or letters. Knowledge, Skills, and Abilities
Knowledge of basic management principles and practices.
Knowledge of principles and processes for providing customer and personal services, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Skill in communicating effectively, verbally and in writing.
Ability to collect, analyze data and prepare summary reports.
Ability to research problems, develop solutions, and communicate findings.
Skill in using personal computers, including Microsoft Word, Excel, Outlook and Adobe Pro.
Ability to track and monitor work assignments.
Ability to establish effective working relationships with others.
Ability to effectively supervise subordinates.
Ability to read, understand, interpret and apply laws, policies, and/or procedures related to driver license records.
Knowledge of supervisory principles and personnel/hiring processes.
Skill in document scanning.
Skill in data storage.
Preferred Qualifications
Preference will also be given to applicants who have experience:
One year of professional work experience in a supervisory, team lead, and/or management position.
One year of professional work experience using Microsoft Office products to include Word, Excel, and Outlook.
One year of professional work experience in document scanning.
One year of professional work experience in processing driver license records.
One year of professional work experience in providing customer service and/or public relations.
General Information
The elements of the selection process may include a skill assessment and/or oral interview.
Applicants being considered for employment will be required to submit to a fingerprint-based background investigation, which will include a check of the criminal history records of the FBI. Fingerprints and associated information/biometrics will be retained in the FBI’s Next Generation Identification (NGI) system and fingerprints may continue to be compared against fingerprints submitted to or retained by NGI.
