Our Organization and Mission:

The mission of the Division of Florida Condominiums, Timeshares and Mobile Homes is to provide consumer protection for Florida residents living in the communities we regulate through education, complaint resolution, mediation and arbitration, and developer disclosure. The Division has the power and duty to enforce and ensure compliance with the provisions of statutes we regulate. The Division is comprised of two (2) bureaus, Compliance and Standards and Registration.

The Work You Will Do:

This position is located within the Bureau of Compliance of the Division of Condominiums, Timeshares, and Mobile Homes. This in-office position supports the Bureau Chief of Compliance, and is responsible for the administrative functions in the office.

Your Specific Responsibilities:

The incumbent in this position reports to the Bureau Chief and is responsible for the administrative functions to include:

  • data tracking using Excel;

  • opening cases using the Department’s software programs;

  • researching and making travel arrangements;

  • keeping track of and purchasing supplies;

  • preparing correspondences for constituents;

  • answering phones and transferring calls to the appropriate person;

  • scheduling meetings and interviews;

  • working with the other administrative assistants within the Bureau;

  • working on various projects for the Bureau;

  • communicating with the supervisor on a daily basis.

    Knowledge, Skills & Abilities:

  • Ability to work independently.

  • Ability to plan, organize, and coordinate work assignments.

  • Ability to communicate effectively to members within and outside of the organization

  • Skilled in writing and reading comprehension.

  • Skilled in customer service etiquette.

  • Ability to manage time working on various assignments.

  • Ability to establish and maintain effective working relationships with others.

  • Ability to prepare correspondence and administrative reports.

  • Proficient in the use of technology, including software, hardware, and data systems.

  • Knowledge and the ability to apply Florida Statutes, rules, and procedures for licensing of professionals.

    Minimum Requirement:

  • High School Diploma or equivalent and

  • One (1) year of customer service experience.

    Preferred:

  • Experience in administrative support in a professional office environment;

  • Knowledge of Microsoft Office including Outlook, Word, PowerPoint, and Excel;

  • Experience answering telephone calls using a multi-line switchboard.
