MINIMUM REQUIREMENTS:

A bachelor's degree from an accredited college or universityandtwo (2) years of administrative experience.

A master's degree from an accredited college or university can substitute for one year of the required experience.

Administrative or clerical experience can substitute on a year-for-year basis for the required college education.

An equivalent combination of education and experience which equals six (6) years can substitute for the above requirements.

Requires possession of valid Driver License.

JOB DUTIES:

Provides routine administrative assistance to staff within the Bureau of Support Services, including letter drafting, mailing, copying, emailing, faxing, and phone calls to division staff and vendors.

Acts as the bureau’s liaison for destruction of paper documentation according to applicable record retention dates, including coordination with bureau chiefs and their designees to complete forms for submission to the division’s Records Custodian. Performs oversight of mass shredding for the division.

Performs inventory duties for digitizing equipment and supplies, including projections of inventory needs for upcoming fiscal years. Assists Government Operations Consultant I with coordination of received orders, invoice processing, and updating of inventory database.

Performs research of queues and reports and provides findings to the Bureau Chief of Support Services, to include current backlog information, potential issues, and workload assessment.

Completes monthly vehicle reports for the division inventory liaison, to include maintenance and assessment of state vehicle, research of highway safety and motor vehicle records for driver license verification for bureau staff, reporting of routes, mileage, and condition of state vehicle.

Performs postage monitoring and reporting, to include updating spreadsheet for the division budget/fiscal liaison that includes average daily cost, number of items processed, and monthly usage. Works with Government Operations Consultant I to provide projections of usage for upcoming fiscal year needs.

Responsible for all mail-out operations within the division. Receives, sorts, and mails large quantities of licenses, applications, and renewal notices to licensees and applicants, including special notices pertaining to licensing requirements. Operates and maintains Pitney Bowes and Neopost machinery, ensuring that packages are processed and shipped accurately. Monitors postage amounts to ensure that meter machine maintains enough postage. Performs mail-runs throughout the division, as well as performing special deliveries as necessary. Performs bank transactions for the division. Operates and maintains state vehicle and equipment. Receives and fills all supply requisitions from all bureaus within the division. This includes delivery and/or packing and shipping supplies to Regional Offices and Tax Collector Offices throughout the state. Responsible for ensuring accuracy of orders and timely delivery.

Organizes and maintains division warehouse, including maintenance of inventory and inspection of products for defects and/or damage. Receives, unloads, and places inventory items appropriately. Oversees all deliveries of applications and other pertinent documents and supplies. Responsible for keeping the warehouse clean and organized. Completes inventory logs. Responsible for keeping supervisor aware of inventory levels and issues. Organizes large quantities of boxes that are scheduled for destruction, including oversight of shredding done by vendor.

Acts as a back-up for Intake staff- opening, sorting, batching, and scanning incoming mail, digitizing photographs, printing license cards, transmission of fingerprint cards, and other related duties.

Performs other related duties as required.

KNOWLEDGE, SKILLS AND ABILITIES:
