Talladega College Assistant Director of Financial Aid/Scholarships in Talladega, Alabama

General Responsibilities

The Assistant Director of Financial Aid/Scholarships, in coordination with the Financial Aid management team, oversees daily operations of the Scholarships, including administration of Federal, State, Institutional, and private scholarships and other funding for students.

Specific Tasks and Duties

  • Oversees day-to-day operations and special projects, tracking, analyzing, and explaining the schools aid and disbursement portfolios.
  • Assists with the annual audit on scholarships.
  • Ensures reconciliations on all scholarship accounts are done on a monthly basis.
  • Assists with creating efficiencies as well as creating institutional policies and procedures based on federal, state, and institutional regulations as it pertains to scholarships.
  • Maintain student confidentiality in accordance with FERPA regulations.

Job Description

Reporting to the Associate Director of Financial Aid/Compliance, the Assistant Director of Financial Aid/Scholarships is responsible for monitoring, reporting, and analyzing institutional and departmental scholarship utilization as well as managing the set up and maintenance of all funds in the Talladega College information system; provides primary comprehensive administrative responsibility of specific institutional scholarship programs; assists with the administration of other departmental and general scholarships as well as outside scholarship processes; and, is a liaison with specific colleges and departments to support Talladega College scholarship goals. This position serves as a member of the Supervisor team, assisting with the development and implementation of the short- and long-term goals of the college and Financial Aid. These processes include but are not limited to: outreach to high schools and other groups regarding the availability of financial aid and scholarships; ensuring departmental and general scholarships are awarded, accounted for and reconciled in a timely and accurate manner; and, ensuring all scholarship daily processing and strategic long-term goals are met. This position assists the Financial Aid Specialist(s); requires data analysis, research of best practices; and makes recommendations for assigned programs to the Associate Director of Financial Aid/Scholarships to include packaging of scholarship programs for which the position is responsible. This position counsels students and parents through the financial aid process and assists, as needed, in all aspects of financial aid processing.

Required Qualifications

Bachelor's degree in higher education, business, or related field with training and or experience. Strong commitment to student service and program compliance. Ability to manage multiple and competing priorities. Commitment to continuous improvement in a dynamic environment that strives to provide exceptional customer service. Ability to perform independently and as a part of multiple teams. Demonstrates effective problem-solving; strong organizational skills; and, strong communication and interpersonal skills; must read, comprehend, and interpret statute, regulations, and institutional policies and procedures. Demonstrates sound decision-making skills; intermediate working knowledge and experience working with Microsoft Excel and Word; ability to work cooperatively with a wide range of constituents and conduct professional outreach events-- both on- and off-campus. Effectively collects and analyzes data, draw conclusions, and assists in developing recommendations. Ability to work evenings and weekends, as needed.

  • Expert knowledge of Federal and State financial aid programs. Familiarity with technical aspects of administering scholarship programs.
  • Ability to shift quickly between several tasks without loss of continuity while balancing priorities to accomplish assigned tasks within the required time frame.
  • Establish and maintain effective communication and working relationships with internal and external constituents to provide service and a positive image to the community. Ability to accept and provide effective supervision, assignments, change, and correction.
  • Actively engages in the development of the financial aid team by fostering a positive environment of trust, teamwork, and innovative thinking. Provides proactive performance reviews that offer practical feedback to empower employees to improve and enhance their job performance and conducts disciplinary action when necessary.
  • Ability to express ideas effectively in oral and written form. Competence in composing and editing correspondence, proposals, and reports that may require the ability to relay complex or adverse information with tact and diplomacy. Possess the ability to analyze projects and proposals and develop policy.
  • Demonstrate advanced knowledge of Microsoft Office (specifically, Word, Excel, and Outlook) to implement, develop, and maintain computer-based business operations. Self-motivated to stay current with emerging office technologies and recommend and implement improvements.
  • Confer regularly with immediate supervisor, other departments/College personnel, and/or various firms/organizations/individuals external to the Talladega College to exchange information and resolve problems.
  • Ability to accept and provide effective supervision, assignments, change, and correction in a professional manner.
  • Ability to work effectively, decisively, and flexibly in a fast-paced, dynamic environment.

Preferred Qualifications

  • Master's degree in higher education, business, or a related field.
  • Demonstrated Federal Student Aid, scholarship, and supervisory experience.
  • Experience using ARMS, Powerfaids, Jenzabar and any other college information systems.
