Southwestern Community College Executive Assistant to the President and Board of Trustees in Sylva, North Carolina

Statement of Primary Purpose This position is primarily responsible for providing office management support to the College President and the Board of Trustees.

Classification Full-time, exempt staff, Professional Classification Includes employees who perform tasks requiring considerable knowledge of office management/ support policies, practices and procedures. Maintain control of and generate correspondence, reports and documents that may affect multiple departments or college-wide projects. Make recommendations to supervisory personnel concerning procedural improvements to divisional or college-wide operations. May inform and instruct college personnel of procedures relating to their area. Employees in this category perform advanced clerical/administrative duties and exercise judgment in carrying out those duties. Position often carries a significant level of decision-making responsibilities, for which the individual is accountable.

Essential Functions and Responsibilities

  • Represent the Presidents Office by greeting and announcing visitors, scheduling appointments, and interacting with students, the public, the community and co-workers in a cooperative, courteous and professional manner.
  • Provide office assistance to the President to include: process incoming and outgoing mail, prepare correspondence, maintain office records and filing system, coordinate meeting arrangements, and maintain the Presidents schedule and calendar.
  • Responsible for coordinating, arranging and recording Board of Trustee quarterly meetings, called meetings, and committee meetings.
  • Provide office assistance to the Chairman of the Board of Trustees, members of the Board of Trustees, and the Personnel Committee of the Board of Trustees as required.
  • Lead, plan, coordinate, and execute College events sponsored by the College, College President, and Board of Trustees, such as public College events, building dedications, and the annual College holiday party.
  • Responsible for coordinating travel arrangements for the College President and the Board of Trustees.
  • Assists in the development and administer the annual Presidents Office and Board of Trustees budgets, including maintaining budget records for supplies, equipment, and travel for the Presidents Office and Board of Trustees.
  • Responsible for maintaining sensitive and confidential files and records for the College, the Presidents Office and the Board of Trustees.
  • Review and maintain the By-Laws for the Board of Trustees.
  • Acts as the ethics liaison for the President and the Board of Trustees.

Additional Duties and Responsibilities

  • Assist Human Resources Office with coordination/arrangement of functions and events related to college personnel.
  • Assists Human Resources Office with the coordination of answering Open Records Requests.
  • Serve on College committees and teams as requested.
  • Comply with college policies and procedures as outlined in the Policies and Procedures Manual

Minimum Qualifications Education Associates degree in related field or 3-5 years Office Management experience

Knowledge and Skills Position requires demonstrable abilities in office/computer skills, independent decision-making, excellent oral and written communication skills and organizational ability. Proficiency with Google and Microsoft Office Suites. Position must possess the ability to maintain confidentiality, the ability to exercise good judgment and tact and strong human relations skills. Knowledge of college policies and procedures, the North Carolina community college system, the North Carolina Community College Trustees Association and North Carolina General Statutes as pertaining to community colleges is essential.

Physical Demands Position functions in an office environment and physical demands are minimal.

Working Conditions and Environment rimarily an office environment with no hazardous or extreme working conditions. Normal working schedule is a forty-hour work week (8:00 AM - 5:00 PM, Monday-Thursday and 8 am - 12 Noon on Friday) with scheduled evening Board of Trustee meetings, and College functions. There is occasional travel to off-campus sites for meetings/events.
