We are seeking a highly dedicated and detail-oriented professional Secretary to General Manager to join our team. As the General Manager's Secretary, you will play a pivotal role in facilitating the smooth operation of the General Manager's Office (GMO). This position requires a professional who can handle a wide range of administrative tasks, manage confidential information, and provide exceptional support to the General Manager (GM) and the broader executive leadership team.

You'll make an impact by

  • Calendar Management: Organize and maintain the GM's calendar, ensuring all appointments, meetings, and deadlines are accurately scheduled and managed.

  • Travel Coordination: Arrange and coordinate travel itineraries, accommodations, and logistics for the GM, including international trips.

  • Document Preparation: Draft, format, and proofread a variety of documents, including letters, memos, reports, presentations, and speeches.

  • Communication Management: Serve as the primary point of contact for internal and external stakeholders, managing correspondence and phone calls with professionalism.

  • Meeting Support: Prepare for and attend meetings, taking detailed minutes and ensuring follow-up actions are clearly communicated and tracked.

  • Administrative Oversight: Oversee day-to-day administrative tasks, including document management, office supplies, facilities management, company chop management, and written/verbal translation.

  • Project Support: Assist with the planning and execution of special projects and events, ensuring all details are handled efficiently.

  • Policy Adherence: Ensure compliance with company policies and procedures, maintaining the integrity and confidentiality of sensitive information.

Your defining qualities

  • Education: Bachelor's degree in Business Administration, Communications, or a related field.

  • Experience: A minimum of 2-3 years of relevant experience in executive support or administrative management, preferably in a multinational company environment.

  • Language Skills: Proficiency in English, with additional language skills being a strong asset.

  • Technical Proficiency: Advanced skills in MS Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management software.

  • Organizational Skills: Exceptional organizational and time management abilities, with a keen attention to detail.

  • Interpersonal Skills: Strong written and verbal communication skills, team player with the ability to interact professionally at all levels of the organization.

  • Cultural Sensitivity: Experience working in a multicultural environment and an understanding of global business practices.

  • Business knowledge: General understanding of Siemens Products, Markets, and low voltage products will be a plus.
