Thomas Jefferson University Staffing Coordinator - (Relief \On call - Clinical Support Centralized Staffin in Stratford, New Jersey

General Summary:

Coordinates staffing and/or payroll functions for Nursing Department and Supplemental Staffing
Department associates as directed.

Essential Job Function:

  • Collects availability schedules and staff data for utilization in the staffing process.

  • Maintains data from staffing sheets and sick logs on a regular basis.

  • Assists Nurse Manager and Nursing Directors with secretarial support as needed.

  • Updates time and attendance Kronos records for nursing associates within two weeks of
    pay period as evidenced by random audit by manager

  • Investigates and resolves all associates payroll concerns within 48 hours as evidenced
    by associate feedback.

  • Completes daily editing on Kronos system for previous day activity as evidenced by
    random review of records

  • Completes and distributes all assigned reports by due date 95% of the time, as
    evidenced by department head feedback

  • Assists in payroll audit resolution as observed by director

  • Completes all Kronos calculations of associates by 1 pm, Monday of pay week, with
    complete accuracy as evidenced by feedback from corporate payroll.

  • Assists managers in entering completed schedules and changes into computer schedule
    section of Kronos with complete accuracy as evidenced by feedback from directors

  • COORDINATES STAFFING AND SCHEDULING PROCESS FOR THE
    NURSING DEPARTMENT

  • Provides daily staffing levels in accordance with approved staffing guidelines, acuity
    and skill levels of associates, including coordination of unscheduled PPL/ESL.

  • Coordinates schedule of SSD relief associates within designated time frame

  • Thinks ldquo;system-widerdquo; to ensure dialogue/collaboration with NM/Nursing Support/Bed
    Manager at alternate campuses when staffing needs are crucial.

  • Completes staffing sheet transcription with complete accuracy as evidenced by direct
    feedback from managers

  • Communicates with director on associate specific staffing/payroll issues as evidenced
    by associate feedback.

  • Validates licensure of nursing associates at time of renewal and prepares copies of SSD
    associates for director as evidenced by random review of SSD log

  • Complies with KHS occupational health and safety policies and procedures.

Covid Vaccination is a requirement for employment at Jefferson for employees working at Jeffersonrsquo;s clinical entities or at the University.   • High School Diploma, Bachelorrsquo;s Degree preferred

  • Three (3) + years office/administrative experience required

  • Excellent organization and customer service skills
