Stony Brook University Custodial Manager in Stony Brook, New York


Required Qualifications (as evidenced by an attached resume):
Bachelor's degree
(foreign equivalent or higher). Three (3) years of full-time directly related custodial experience. Must have, keep and maintain the appropriate valid NYS Driver's License; have a motor vehicle record which is free from major violations or a pattern of repeat violations. Supervisory/management experience. Experience in custodial services utilizing operational software programs. Experience working with Microsoft Office Suite and/or Google Workspace.Brief Description of Duties:
The manager will oversee the custodial operation of the residential operations buildings. The manager will be responsible for the coordination and overall daily management of the custodial department's functions for the Assistant Director of Residential Operations. The incumbent will be responsible for daily operations of the custodial department both union and contractual. Maintaining confidential files, scheduling and record keeping. Incumbents must be able to produce accurate documents independently. Proficient in creating and maintaining Excel, Word & PowerPoint documents and presentations. Schedule conduct & document weekly meetings with supervisory staff. The incumbent will be responsible for researching issues, assessing needs and prepare reports. Implement update monitor & maintain personnel training records annually. The incumbent should be able to communicate effectively with our diverse campus population, have strong organizational skills, the ability to multitask, and strong customer service skills. Incumbent is required to respond to after hour emergency and/or weekend calls and provide coordination should it be required. The incumbent will be the "go to person" when the Assistant Director of Residential Operations is not available and may represent either when necessary. Must possess excellent customer service communication and organizational skills.

  • Operations:
    • The manager will assist in overseeing & managing the custodial residential operations department both state and contractual. Directs in-house and contracts custodial supervisory and operational personnel in the cleaning of the campus facilities. Must maintain a high level of cleanliness and/or improve cleanliness to ensure the general safety, health and comfort of students, faculty, and staff. Ensures that all resources required to support the cleaning needs are provided. Will manage all custodial supervisory staff ensuring policy and procedures are implemented daily. Oversee the scheduling of work assignments, making sure employees have proper equipment and supplies to complete assigned tasks and/or projects. Coordinate with custodial supervisors to ensure any shared labor resources between communities, will keep proper staffing levels by maintaining university custodial services standards.
      Manger will be responsible for meeting regularly with the Assistant Director and Director of Residential Operations to discuss day-to-day operational issues and concerns. The manager will round and inspect residential properties daily to evaluate and maintain cleanliness standards while conducting audits/inspections of residential facilities and implementing corrective actions. Uses computerized maintenance management software to assist with managing work orders ensuring they are dispatched completed timely and accurately.
  • Responsible for the custodial management of campus buildings serviced by custodial contractors:
    • The management of the contracted buildings includes but is not limited to; regular Inspection of the buildings, meeting with contractors to ensure compliance with the contract, assist with event coordination, and meet regularly with Building Managers to ensure satisfaction. Review custodial contracts prior to expiration and make recommendations for revision. Write specifications, policies, and procedures for the vendor and program.
  • Customer Service:
    • Coordinate custodial activities with customers, peers and other university departments. The manager will inspect & track contractual labor force fixed and supplemental, manage & implement compliance auditing tools verifying work orders against additional chargeable hours & suites. Support the assistant director in conducting research, collecting data, reviewing and summarizing assessments, and preparing reports, proposals, and other official documents.
  • Personnel:
    • The Custodial Manager will assist in educating & implementing annual training programs, verifying & documenting that the custodial staff meets the departments and EH&S standards. Lead and manage assigned custodial employees in accordance with State and university policies, including but not limited to, recruitment, training, performance evaluations, discipline, and termination. Participate in the training programs for custodial employees. Make recommendations regarding training opportunities. Oversee verifying sign-in and out sheets & timesheets for accuracy. Managing assignments and processing required forms according to State and Federal guidelines.
  • Safety:
    • Review all Policies and procedures and identify all safety procedures that custodial staff need to be aware of and follow. Conducted monthly safety meetings with staff and maintained records of each meeting, including subject matter and employees who attended.
  • Department Coordination:
    • The custodial manager will be responsible for attending Campus Residences community staff meetings weekly and maintaining an open line of communication between CR & Res Ops. Report any areas of concern and plan corrective actions while reporting back on corrective measures.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.
