Stony Brook University Business Assistant in Stony Brook, New York


Required Qualifications (as evidenced by an attached resume):
Bachelor's Degree (foreign equivalent or higher). Two (2) years of full-time experience in performing routine office work with bookkeeping responsibility. Proficient in word processing, spreadsheet management, electronic messaging and internet applications (Microsoft Word, Excel, PowerPoint, Google Apps, etc.).

Preferred Qualifications:
Bachelor's Degree (foreign equivalent or higher) in business related field. Five (5) years of full-time bookkeeping experience. Two (2) years of full-time experience of budget management.

Brief Description of Duties:
At the Small Business Development Center, the Business Assistant will provide targeted business record keeping, budget and financial management and marketing assistance to the Center Director to promote SBDC free and confidential business advisement services and programming. Duties include:

Maintain record of office expenses, including all Small Business Development Center, Research Foundation and New York State and all special project budgets for the SBDC, which includes expense projections, expenditure processing and monthly reconciliation. Assist with allocation of these expenses for the three main funding sources, Small Business Development Center, Stony Brook University and Small Business Administration. Under supervision of the Director, assist with creating quarterly cost-share reports. Process all invoices, PO's, requisitions, registration fees; review travel reimbursements and reconcile all monthly expenditures and ensure expenses stay within budget targets.

Under the supervision of the Director, assist in preparation of Performance Programs and Evaluation drafts for both New York State and Research Foundation Staff. Assists with completion of change forms for RF payroll extensions and labor distribution, Annual Conflict of Interest and Disclosure Statements, Certification of Efforts for both SBDC and Stony Brook University. Oversee appointment paperwork for student positions for SOLAR.

Coordinate workshops with staff and manage the marketing of SBDC workshops including distribution to affiliated organizations' calendars/websites and other specialized industry organizations when appropriate, updating the SBDC public google calendar and links on the SBDC website to workshop registration, marketing emails to the SBDC's email database of 10,000+ SBDC clients in Constant Contact, as well as adding events to the Stony Brook University Campus Announcements. Manage the Department's Constant Contact account adding new clients to sub-lists specialized by industry with following branding guidelines for all emails and linking to social media accounts. Coordinate updates for social media marketing with SBDC Business Advisors and student interns. Provide administrative support for marketing outreach and networking as appropriate to Chambers of Commerce and Long Island business organizations.

Maintain the SBDC website content and organization including updating upcoming workshop information, uploading and linking speaker presentations from workshops that have taken place and uploading to YouTube and creating direct links on the webpage. Ensure all website links within are functioning, and managing the "shared resources and links" requests from outside contacts and vendors. Ensure that the branding on the website follows both Stony Brook University, US Small Business Administration and SBDC guidelines.

Oversee scheduling for the SBDC Director for high profile individuals such as politicians, county legislature and university leaders. Department liaison for Stony Brook University Departments. Correspondence for the SBDC Director includes drafting, proofing, and/or sending requests for letters of recommendation, email inquiries, and department-wide emails. Records retention for the SBDC Director includes all financial and HR files as well as any other initiative/grant paperwork, business advisor client surveys, inventory and property control, programmatic work and publications.

As needed, the Business Assistant will also assist the Front Desk Coordinator, in providing support services for booking appointments for clients, ensuring clients complete necessary paperwork prior to appointment. Assists in maintaining SBDC and Advisor calendars.

Special Notes:

This is a part-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.
