About the Department of Pathology:

The Department of Pathology at Stanford School of Medicine, one of its founding departments, stands as a leader among its peers nationwide. Our preeminent faculty spans from emerging leaders to highly accomplished physicians and scientists, including a Nobel laureate and members of the National Academy. Our mission is to improve the diagnosis, treatment, and basic understanding of the human disease. This is done through discovery (research), education, and clinical care.

Comprised of extraordinary faculty and staff, our mission is to improve the ability to diagnose, treat and understand the origin and manifestation of human disease, and to care for those who have or are at risk to develop disease. We accomplish this through our clinical services (in all fields of anatomic and clinical pathology, including molecular and genomic pathology, histocompatibility testing and transfusion medicine) and research (which includes basic, translational and clinical research into the origins and manifestations of disease, including efforts to improve disease prediction and prevention as part of the goal of achieving precision medicine and health), and also by educating future leaders in pathology and related fields. About the Position:

Stanford University is seeking a Student Services Specialist to provide comprehensive administrative and operational support to faculty, staff, and students. In this role, you will support approximately 16-20 faculty members with student appointments and provide insight on inquiries related to appointment eligibility, visa requests, and more.

As part of a dynamic team in a fast-paced environment, you will work with a diverse group of individuals, handling a wide range of tasks with frequently changing priorities. You will also provide support on appointment and visa-related issues, resolving routine matters within your area of responsibility by applying general guidelines, standards, and established precedents.

We are looking for someone who is highly organized, proactive, and extremely detail-oriented, with the ability to multi-task in a fast-paced environment. You will be expected to demonstrate strong business judgment, professional etiquette, and exceptional written communication skills. Prior experience working with students and faculty in an academic setting is strongly desired.

Duties include:

  • Review documents and forms for completeness, track files for follow up, and distribute for review.

  • Research and resolve routine issues, refer complex issues to other staff.

  • Input data, update electronic databases, web sites, literature, and associated materials. May collect, gather and validate data, and prepare basic reports.

  • Coordinate logistics for outreach activities, meetings, and events.

  • Respond to routine inquiries from students, faculty, external constituents, and staff.

  • Serve as a subject matter resource to students and other departments.

  • Contribute to general office administration and process improvements.

  • May train and direct day to day activities of student and temporary workers.

  • This position may have a flexible work location, with the possible ability to be either co-located near the Stanford campus or in Palo Alto, CA as a hybrid worker.

Desired Qualifications:

  • Strong verbal and written communication skills

  • Excellent customer service and interpersonal skills

  • High level of attention to detail and accuracy

  • Ability to navigate multiple competing priorities and learn university systems

  • Proficient in Outlook, PowerPoint, Excel, and Smartsheets

  • Prior experience working with students in an academic setting

  • Knowledge of processing J and H-1B visa

Education & Experience (Required):

  • Two year college degree and one year of relevant experience, or combination of education and relevant experience.

Knowledge, Skills, and Abilities (Required):

  • Strong written and verbal communication skills.

  • Basic computer skills, including experience with Microsoft Office Suite.

  • Customer service skills.

  • Basic office administration skills.

  • Ability to learn compliance with legal, financial, and university policies and external regulations.

Physical Requirements*:

  • Frequently sit, perform desk-based computer tasks.

  • Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.

Working Conditions:

  • Travel to/from Stanford locations in multiple areas.

The expected pay range for this position is $22.88 to $36.54 per hour.
