The Center for Entrepreneurial Studies(CES) is at the heart of entrepreneurial learning at the Stanford Graduate School of Business (GSB). Among the center’s activities is the oversight of experiential programs, including summer programming and the GSB’s flagship experiential entrepreneurship course,Startup Garage, where students learn a refined innovation process to rapidly develop and evaluate their venture ideas.

Startup Garage is one of the largest courses at the GSB. It is taught by a team of 19 esteemed faculty, including venture capital veterans, serial entrepreneurs, and a tenure line professor. The course draws over 200 students from across campus every year, with more than 130 companies founded by its alumni.

The course is offered in three sections every quarter, with up to 20 student teams and five instructors per section. It offers a mix of short lectures, class exercises, 1:1 coaching, team time to work on projects, Design Review presentations, and final presentations to faculty and investors. Outside the formal course are events to encourage team formation, dinners with instructors, and an Advisor Fair where students receive feedback from a variety of Silicon Valley entrepreneurs, executives and investors. It is a dynamic course with varied formats of delivery.

The CES team is hiring a Program Associate to provide administrative and operational support for experiential course planning, execution, evaluation, and improvement. The person in this role will interact with world-class faculty, talented students, and dedicated staff, helping to create a program experience that lives up to Stanford’s standards of excellence.

This is a hybrid position that requires regular, on-site work 4 days per week at the Stanford GSB campus during the academic year (mid-September through mid-June) on:

  • Mondays & Thursdays, 7:30am - 10:00am

  • Tuesdays 7:30am - 12:00pm

  • Fridays 7:30am - 12:30pm

  • With advance notice, occasional evenings to support program-related events

From mid-June to mid-September, there is more flexibility around alternate time commitments and remote work.

Your primary responsibilities* include:

  • General: Provide operational support for course planning, execution, and evaluation; Identify and resolve administrative problems.

  • Customer service: Attend all the classes and act as a first point of contact for course instructors, students, and class guests, providing excellent customer service in resolving administrative questions and concerns.

  • Course planning: Participate in and document the course planning meetings with a large group of talented instructors; Contribute insights from class observations, student interactions, course evaluations, and operational processes.

  • Materials & records: Organize program files in Google Drive; Process approved updates to program material, Canvas (course management platform), and websites; Maintain student records (class rosters, attendance, etc.); Set up new documents for application reviews, student registrations, evaluation reports, etc.; Utilize specialized software and systems as needed.

  • Classroom: Reserve rooms for courses and program-related activities; Set up class materials, Zoom recording, and slide presentations before each class; Coordinate and monitor routine maintenance services; and Maintain supplies and equipment.

  • Student matching: Work with complex spreadsheets to appropriately match students with instructors, advisers, and other teams, based on industry or venture-type compatibility, for various program activities.

  • Events: Oversee and/or perform duties associated with scheduling, organizing, and operating complex events, workshops, and advisor fairs, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing within budget.

  • Evaluations: Perform complex spreadsheet calculations around program evaluations, using Excel, Google Sheets, or other software; Extract statistics and conduct analyses of student outcomes and opportunities for improvement; Create reports for faculty and staff.

  • Schedules: Maintain the program calendar, instructors’ teaching schedules, and meetings with limited consultation, resolving calendar conflicts as needed.

  • Experiment funds: Oversee and process financial transactions related to Experiment Fund pre-approvals and reimbursements; Research, identify, and resolve discrepancies; serve as the point of contact for student inquiries; Generate quarterly and annual reports.

To be successful in this position, you will bring:

  • High school diploma and four years of administrative experience, or combination of education and relevant experience.

  • Advanced computer skills and demonstrated experience with office software and email applications.

  • Demonstrated success in following through and completing projects.

  • Excellent organizational skills and attention to detail.

  • Excellent verbal and written communication skills.

  • Excellent customer service and interpersonal skills.

  • Ability to prioritize and multitask.

  • Ability to take initiative and ownership of projects.

  • Ability to routinely and independently exercise sound judgment in making decisions.

  • Ability to work a hybrid schedule with up to 4-days onsite.

  • Ability to work occasional evenings and non-observed days during the university winter closure. Advanced communication will be given.

Physical Requirements:

  • Constantly perform desk-based computer tasks.

  • Frequently sitting.

  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.

  • Rarely twist/bend/stoop/squat, kneel/crawl.

In addition, preferred requirements include:

  • Bachelor’s degree

  • Experience with AI tools, Canvas, Airtable, data survey tools, mail merge, scheduling/calendar software, and/or other software, for improving efficiencies and communication

  • Willingness to explore and pilot technologies

  • Familiarity with, or interest in, the higher education space

  • Course and/or event management experience, including using Zoom tech/features for large events/meetings

  • Great energy, highly proactive, sharply focused, always a step ahead of the game!

The expected pay range for this position is $33.17 to $43.75 per hour. The actual pay will be pro-rated based on the 50% FTE.
