Job Summary This position is responsible for managing the administrative area supporting the Economic Analysis and Communications teams. Administrative leadership and support is provided to four (4) supervisors and approximately twenty (20) staff. The position provides highly confidential administrative support and manages overall functioning of the office. The position exercises a high level of judgement and discretion, maintains a high level of confidentiality and trust, and employs considerable experience and institutional knowledge in execution of the required duties. This role will have key responsibilities which will include: Manage purchasing and contracting for Economic Analysis Unit and Communications Office Lead administrative support for supervisors and staff Manage administrative tasks associated with preparing legislative and other mandated reports Other duties as assigned by manager This position will be based out of the St. Paul office. This position is telework eligible and is occasionally required to be on-site at the office every Wednesday and as needed for efficient operation of the office. Staff are provided with the tools and equipment to be successful in a virtual work environment and may telework from anywhere in Minnesota or a neighboring state. Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files Knowledge of accounting sufficient to review, analyze and verify financial records, calculate monthly fees, and prepare financial summaries and reports Knowledge of communications sufficient to write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction Skill in math sufficient to calculate, review and reconcile financial data and balance accounts Ability to communicate in a variety of formats to gather and relay information with tact and diplomacy Preferred Qualifications Associates degree in Business Administration, Communications, or other closely related field as determined by the agency Office administrative support experience Previous experience with the State of Minnesota and/or the StateWide Integrated Financial Tools (SWIFT) financial system Our employees are dedicated to ensuring cultural responsiveness.
