Job Summary: Provide administrative support to Guardianship Options line of service, primary support to Supervising Guardian, Senior Program Manager, and GO staff. Qualifications and Requirements: High school diploma is required. Two years of prior administrative management (including secretarial) experience is required. Skill in the areas of typing, computer operation, office management, and basic bookkeeping are required. Training in advanced word, managing multiple priorities, office management, and personnel management preferred. Ability to use office equipment including: computer, telephone, fax, copy machine, multiple software packages (with training as needed). BCA. Major Responsibilities/Activities: Processing Mail (50%) Sort daily and distribute mail for St. Paul staff. Scan/email any mail received for non-St. Paul staff. Take outgoing mail down to the front desk. Assist with large mailing projects for assigned teams. Client Files (30%) Create new client folders, physical and digital, and replace any old, damaged folders. File documents for assigned team in client files. Conduct regularly occurring audits of client folders. Office Coordination (10%) Maintain bookings for meetings taking place in the St. Paul office. Maintain inventories of office supplies, including letterhead, envelopes, pens, paper, etc. Special Projects (10%) Yearly migration of discharged client files. Update caseloads on client tracking platform. Search archived documentation for specific items as requested. Other duties as assigned.
