$500 sign on bonus ($250 at the completion of first week of training and $250 after successful completion of first 90 days)
Position: Administrative Assistant
Location: Springfield, MA
Hours: 40 Hours per week
Schedule: Monday-Friday; 8:00am-4:00pm with flexibility for start and end times
Summary:
The Administrative Assistant contributes to Viability’s mission, vision, strategy, and goals by providing efficient and effective administrative support for our programs, workplace, and leadership. Responsibilities include maintaining the front desk, as well as the agencies general phone line and assisting callers with their needs, ordering of company supplies, maintenance of various spreadsheets for contract renewals and amendments, and performs all other administrative duties as needed.
Qualifications:
High School Diploma and 1-2 years of experience required; or Associates degree with 1 year of experience preferred.
Requirements:
Demonstrated proficiency in use of Microsoft Word, Excel, email, and internet.
Organizational skills, creative abilities, and excellent written and oral communication are a must.
Exercises sound judgment in problem solving, prioritization and multitasking.
Ability to set the tone of welcome and inclusion through the development of strong relationships with all key stakeholders (members, member families, peers, subordinates, superiors, funding sources, employers, communities, etc.)
Review and sign for deliveries and provide notification to the appropriate parties
Facilitate distribution of notices to staff, members, and subordinates
Manage the ordering, inventory, and purchasing account for all office supplies.
Must assist with the setup and breakdown of corporate and special events
Must provide additional assistance to the CEO in the absence of the Executive Administrative Assistant
Valid driver’s license
Must be able to travel within the region to access residential settings, employers, and community organizations.
