SUMMARY:

This position provides administrative support such as managing calendars and scheduling meetings to two executives in our DC office; coordinating rooms(s), locations, and virtual information and distributing any needed information prior to event. Responsibilities include assisting with all office procedures and anticipating the need of the Executive(s); preparing expense reports; booking travel; routine scheduling; preparing general documentation and spreadsheets; compiling data for reports and making recommendations; prioritizing incoming mail; screening and directing incoming phone calls; route and answer routine correspondence not requiring executive(s) attention to ensure timely and accurate response.

Responsibilities:

Schedules and organizes complex activities such as meetings, travel conferences, budgets, and department activities. Prepares Executive\'s expense reports, adhering to company policy and guidelines. Organizes and prioritizes large volumes of information and calls. Coordinates office events by assisting with catering needs including ordering meals and communicating with vendors; takes messages and or routes and answers routine correspondence not requiring executive(s) attention. Handles confidential routine and non-routine information and explains policies when necessary. Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects at the request of the Executive(s) which may include planning and coordinating multiple presentations, disseminating information, organizing work, and complying with deadlines and priorities. Types and designs general correspondence, memos, charts, tables, graphs, slides, business plans etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. Establishing and maintaining confidential files and documentation. Assist with calculating and submitting expense reports.

REQUIREMENTS:

Location: 1000 F. St. NW, Washington, DC 20004 (onsite five days a week)

Education: High school diploma or equivalent; college degree strongly preferred. Experience: 5 plus years of related experience and or training in a business environment preferably corporate.

Computer Skills: Must be proficient in Microsoft Office Suite programs to include Excel, Word, Outlook, SharePoint, and PowerPoint.

Communication Skills: Expert level written and verbal communication skills.

Special Skills: This position requires a high level of discretion and confidentiality and the ability to work independently under general instructions and in a timely manner; must be detail-oriented; have strong analytical skills; must exercise sound judgment flexibility initiative and commitment. Internal policies knowledge is highly desirable as well as the ability to build and maintain relationships.

Travel: Some travel may be required.
