Amergis Wellness/Immunization Administrative Assistant in South Portland, Maine

The Wellness/Immunization Administrative Assistant provides operational and clerical support in a wellness- and/or immunization-clinic setting. Responsibilities may include, but are not limited to, assisting with setup and break-down of wellness/immunization clinics, collection of monies, greeting

clients and visitors, maintaining appointments, and ensuring completion of paperwork.

Local Pay: $18/ Hour

Essential Duties and Responsibilities:

  • Greet incoming patients using friendly, respectful communication

  • Obtaining and documenting up to date demographic information for patient, including updated insurance information, license information, etc.

  • Notify clinical staff that patient has arrived via the EMR

  • Make patient aware of any unusual delay in their appointment time

  • Answer incoming telephone calls using pleasant phone voice and proper telephone etiquette

  • Be familiar with forms necessary for patient appointments

  • To include printing, assembling, and mailing patient packets

  • Be familiar with computerized appointment scheduling system and schedule patients with all necessary follow-up and ancillary appointments

  • Flexibility and willingness to work as a team member

  • Transfer healthcare information in paper format to electronic format

  • Scan documents and attach to electronic chart following department workflows and policies

  • Other responsibilities as directed by manager or coordinator

Minimum Requirements:

  • High School Degree or equivalent

  • Ability to effectively elicit/provide information to and from appropriate individuals (including, but not limited to, supervisors, co-workers, clients) via strong communication skills; proficiency in the English language may be required

  • Previous data entry experience preferred, but not required

  • Strong organizational skills with attention to detail

  • Flexibility and timeliness in completing assigned tasks

  • Must meet all of Amergis' pre-employment screening criteria

  • Computer proficiency required
