Job Description
Main responsibilities:
Taking press/correspondence from the reception of the office building if necessary
Receiving deliveries from couriers
Keeping the received correspondence and distributing it to the recipients
Preparing the halls for the day - supplies, boards, etc.
Preparing daily deliveries for dispatch -packing, creating a bill of lading, etc.
Welcoming and accommodating visitors
Receiving and forwarding calls
Documenting calls for adverse events reactions in a dedicated tracker and reporting to PV representatives
Interaction with the cleaning lady
Organization of interviews with selected candidates - contact with the candidates and send an invitation to the interviewers Preparing a Welcome package for new employees
Sending invitations for induction trainings to new employees
Completing the Annexes to employment agreement under the local program for co-financing of education
Preparing powers of attorney for company cars
GPS data crunching
Receiving slips for speed over the limit from the traffic police department
Preparation and sending of the documents for the transfer of the received slips for speed over the limit.
Administrative support with the mobile operator - ordering cards, transferring cards, activating plans arrival abroad, etc.
Phone plans changes when employees are travelling;
SIM card limits checks
Assisting in the administrative tasks of Clinical Site Management Team
Transparency reporting management
Preparing MAH authorization for tender participation
Affiliate Meetings Management
Qualifications
Previous experience in project management and/or in the administrative field and/ or public administration;
Very good communication and influencing skills, the ability to effectively cope with numerous tasks, flexibility in changing job requirements;
Experienced in processing of complex information
Very good command of English
Computer literacy
