The Administrative Senior Assistant, working under moderate supervision, provides varied administrative support to a business unit, functional department, field office, essentially any group of professionals or leaders. The role performs specific types of duties that may vary based on the areas being supported, and range from scheduling meetings, expense report processing, managing agendas, generating and distributing reports, processing operational tasks such as finance, HR, Compliance, or customer service-related activities. The role may be asked to work on special projects or initiatives such as company-wide events, bureau affiliations, audit requests, or compliance activities ensuring internal and external customers receive best in class support. Supports by organizing, facilitating, and executing tasks related to the operations of the business function and creates efficiency by streamlining, coordinating, or completing some or all aspects of workflows. Facilitates meeting and travel arrangements for leaders and department members. This includes coordinating calendar complexities, logistics for room reservations, teleconferences, and audio-visual needs. May require coordination with outside departments, vendors, and customers. Collaborates with peers in other units regarding scheduling and calendar adjustments. Prepares and enhances presentations, training documents, job aids, electronic file management, and documents for team members. Performs advanced word processing and desktop publishing to include complex presentations, reports, spreadsheets, and graphs. Maintains company, department, and customer files as assigned. May have access to confidential information including salary, financial, performance, and medical information. May serve as an owner/administrator in unit/department systems, including but not limited to workflow management or file storage systems, intranet pages, web-based applications or websites. Serves as liaison between departments to ensure consistent and efficient operations and communication and works in tandem with the other administrative professionals and acts as back up for those positions. Prepares, edits, and delivers various internal and external correspondence (including electronic files, reports, presentations, and documents), receives, sorts, and distributes incoming mail. Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies. May be responsible for reception duties including greeting and registering guests and visitors, monitoring and administering security procedures, and accepting and processing deliveries. Provides polite and professional communication via phone, e-mail, and mail and screens phone calls and routing callers to the appropriate party. Serves as the central point of contact for initiatives impacting the entire unit/department, such as policy changes, office/operational/equipment changes, new hire onboarding/processing, or business unit/department events. Develops, generates, maintains, and distributes reports as assigned. Audits and maintains various reports by checking for errors, inconsistencies, or discrepancies; makes corrections and notifies appropriate personnel of any modifications. Develops a strong network within the department and any supporting function and draws on the network to answer questions and provide information within the scope of knowledge or refer the matter to other staff members as appropriate. 4+ years of experience in Administrative Support or a related field. H High School Diploma or General Education Diploma (GED) and/or commensurate experience.
